    POSITION:  Accounts Payable Supervisor

    LOCATION:  Pocahontas County Schools Central Office

    CLASSIFICATION:  Service Personnel

    TERM OF EMPLOYMENT:  Begins July 1, 2026; 261-day contract 

    FLSA STATUS:  Non-Exempt

    SUPERVISOR:  Director of Finance / Superintendent

    EVALUATION: Performance in this position will be evaluated by the Superintendent or his/her designee and in accordance with WV State Code §18A-2-12, WV State Board Policy 5314, and Pocahontas County Schools Policy 4220

    SALARY:  Based on experience and education level per Pocahontas County Schools salary schedule and WV Code §18A-4-8a - Service personnel minimum monthly salaries.

    PAY GRADE:  G

    Pursuant to WV Code §18A-4-8:

    Accounts Payable Supervisor - a person employed in the county board office who has primary responsibility for the accounts payable function and who either has completed twelve college hours of accounting courses from an accredited institution of higher education or has at least eight years of experience performing progressively difficult accounting tasks. Responsibilities of this class title may include supervision of other personnel.

    Qualifications: 

    • High School diploma or equivalent, pursuant to WV Code §18A-2-5
    • Criminal background check conducted pursuant to WV Code §18-5-15c
    • Demonstrated competency, pursuant to WV Code §18A-4-8e (state approved competency test) as required
    • At least 12 college hours of accounting from an accredited institution of higher education or at least eight years of experience performing progressively difficult accounting tasks preferred.
    • Additional Minimum Requirements: Applicants who have recent unsatisfactory evaluations will not be considered eligible for consideration; applicants who demonstrate unsatisfactory interview performance are not eligible for consideration; and, applicants who receive unfavorable reference recommendations will not be eligible for consideration.
    • Additional Minimum Requirements for Applicants Not Currently Employed: Applicants who have been dismissed or who have had their contracts non-renewed for cause by another school district are not eligible for consideration;
    • The ability to perform the job duties and responsibilities of the position as contained in the Job Description, with or without reasonable accommodation

    DUTIES AND RESPONSIBILITIES:

    • Coordinate all aspects of the accounts payable process in WVEIS.
    • Process Vendor, P-card, and ACH check runs.
    • Assuring Accounts Payable payments are processed within 30-45 days.
    • Reconcile monthly county p-card statements and monitor the reconciliation of school p-card statements.
    • Help maintain Approved Vendor List and securing the vendor registration documents.
    • Working knowledge of West Virginia Department of Education Policy 8200—Purchasing Policy and applicable Pocahontas County Board of Education policies.
    • Calendar year –end processing of IRS 1099 forms for vendors.
    • Fiscal year-end processing for Accounts Payable.
    • Prepare monthly Central Office invoices for Head Start Pre-K services, bus trips in Travel Tracker or equivalent software, and assist with Medicaid billing.
    • Act as liaison for individual school accounting system to school secretaries, faculty senate, and county level.
    • Reconcile monthly school bank statements in school accounting system.
    • Monitor monthly and year end submission of financial reports for schools, faculty senate and booster organizations, where applicable.
    • Assist with annual audit preparation at both school and county level
    • Coordinates with Director of Finance/Treasurer in keeping financial records in balance on a monthly basis.
    • Assist with inventory management records
    • Willingness to cross-train and attend additional training, as needed and
    • Other related duties, as assigned by Supervisor
