Job Description

Bi-Lingual required and in office daily. Remote work is not available for this position.

SUMMARY:
This entry level position requires being in the office daily from 8:30 – 4:30 during business hours. Provide routine clerical support to an individual and/or group. Work requires general knowledge of a business office and involves basic support or production of high-volume telephone service. Work involves operating within a professional retail sales environment.
Role and Responsibilities: include the following. Other duties may be assigned.
• Greet visitors and assist guests as they arrive for an appointment.
• Provide administrative assistance to Retail Branch. Duties will consist of answering written and verbal requests, inquiries for routine information, receiving telephone and personal callers and routing them to the proper employees.
• Take accurate and timely messages providing to the appropriate person.
• Receive and distribute incoming and outgoing mail. Open, sort, and route mail. Assist with bulk mailings.
• Compose and send routine acknowledgements or selected form letters in response to routine inquiries.
• Set up and maintain any file request.
• Assist in preparing and administering office accounts and records. Enter, update, and retrieve information stored in files and databases.
• Schedule and coordinate meetings and appointments. Maintain office calendar.
• Make travel arrangements following specific instructions and keep travel itinerary.
• Maintain inventory of office supplies and replenish stock when necessary.
• Order equipment repairs and services upon instruction.
• Gather material, obtain documents and background information for reports and other purposes in accordance with specific instructions.
• Must sign confidentiality agreement to ensure confidentiality of information.
• Directly provide clerical support to others as directed.
• Compose documents, work with excel, data entry, format and proof materials,
• Assist all clerical positions as deemed necessary.
• Sign in loan packages as directed by Loan Originator.
• Assist Branch Manager with expense report
• Coordinate office meetings including location, lunch, etc.
• Coordinate corporate events when needed
• Work with Executive Assistants in any coordination needed in planning additional events
• Schedule meeting space through the FCM Calendar
• Perform other related duties as assigned.

Education and/or Experience:
High School Diploma/GED required with 1 year of experience in a business office preferred.
Qualifications / Experience:
• Experienced and proficient with Microsoft Office Word, Excel and Power Point preferred.
Communication Skills:
• Excellent verbal and written communication skills, with the ability to explain technical concepts to non-technical users.
• Professional appearance and behavior always following a business professional dress code.
Organizational Skills:
• Ability to manage multiple tasks and prioritize effectively within a fast-paced environment.
