Job Description
RumbergerKirk is looking for a receptionist to join its Tampa office! We are looking for a highly self-motivated candidate, who is willing to learn and thrive in a fast-paced environment. As our receptionist, you will serve as the firm's ambassador and be the first impression for clients, guests and visitors. This role encompasses a variety of client services and administrative duties.


What you'll do

  • Answer incoming calls, screen, direct callers to appropriate attorneys and staff, and deliver timely and accurate messages.
  • Welcome and assist clients, guests, attorneys, and vendors.
  • Provide callers with information regarding office address(es), directions to firm locations, website information, fax numbers, etc.
  • Update phone extension list, firm employee roster and directory of all offices.
  • Validate parking tickets for approved clients and visitors.
  • Oversee scheduling use of conference rooms for meetings, depositions, mediations, luncheons, visiting attorneys, etc.
  • Assist other Office Services members with set-up and clean-up of conference rooms and kitchens.
  • Track and send out daily absentee list.
  • Contact property manager regarding maintenance requests (coordinating with Operations Support Specialist), as well as manage select vendors related to the front desk and lobby area.
  • Back up other Office Services members when they are out of the office.
  • Assist attorneys, managers, paralegals, and other staff with other miscellaneous projects. Examples: opening files; filings in State and Federal Courts; updating files for court hearings; inputting attorneys' time as time allows.
  • Assist in closed file process.

What We're Looking For

  • High School Diploma or Equivalent. Some college preferred.
  • Ability to remain courteous and professional at all times.
  • Team player.
  • Ability to operate switchboard and computer.
  • Advanced technology experience with Microsoft Outlook, Word and Excel.
  • Creative problem-solving.
  • Ability to work independently without constant supervision. 
  • Ability to communicate clearly and effectively.
  • Ability to hear average or normal conversations.
  • Ability to press buttons and dial the telephone.
  • Ability to partake in repetitive motions: Movements frequently and regularly required using the arms, wrists, hands, and/or fingers.
  • Average visual acuteness to inspect documents and operate office machinery.
  • Ability to sit for long periods of time. Ability to lift and move boxes.
