Job Summary
The Department Assistant / Receptionist provides general office support with a variety of clerical activities, scheduling customer services and related tasks. The Receptionist must deliver friendly, efficient customer service to create a warm and welcoming atmosphere for all of our customers, with the key aim of retaining and attracting new customers. Customer service is everything to The Zemba Companies and this person will play a vital role in serving the community.
Essential Functions
- Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department.
- Retrieves messages from overnight voicemail and forward to appropriate personnel.
- Answers questions about organization and provides callers with address, directions, and other information.
- Welcomes on-site visitors with kindness and courtesy, determines nature of business and announces visitors to appropriate personnel.
- Assist in maintaining safe and clean reception, kitchen, common and bathroom areas at all times.
- Assist with other related clerical duties such as copying, faxing, filing, and all other requests as needed.
- Assists in ordering, receiving, stocking and distribution of office supplies, employee uniforms, and cleaning supplies.
- Perform tasks assigned by other departments within the company, coordinated through supervisor.
- Coordinate distribution of all incoming packages to the proper departments timely.
