JOB SUMMARY:
Trane has a new exciting opportunity to join our organization as a Rental Project Administrator for the Great Lakes Service Rental group. Locations for this role could be Grand Rapids / Livonia/ Lansing/Flint, MI OR Columbus / Valley View / Cincinnati/ Holland / Dayton, OH OR Fishers, South Bend / Fort Wayne, IN OR Louisville, Lexington, Bowling Green, KY OR Moon Township, PA.
As a Service Rental Project Administrator, under limited supervision, you are responsible for project set up and seeing them through to full completion with direct responsibility for project execution, to accomplish specific goals in a given time frame and with limited resources. This includes project documentation, materials, job costing, status monitoring, invoicing, and administrative closeout of each project. This position is required to closely interact with customers, Project Managers, and other assigned project staff to ensure the timely completion of each project
What you will do:
Plans and reviews assigned projects, establishes schedules and project parameters and sets procedures to accomplish system goals.
Sets-up rental agreements in system application based on transition documents.
Establishes and measures internal service process and associated compliance.
Maintains customer satisfaction by investigating concerns, implementing corrective action, and communicating with customers and assigned staff.
Connect and communicates with customers and their representatives, including building owners, mechanical contractors, other trades, subcontractors, and field support staff.
Schedule and participate in internal project team meetings to ensure accurate transfer of information.
Validates cost to date and reconciles project data in business system.
Reconciliation of purchase order discrepancies to support the Service fulfillment process.
Reviews billing backlog and coordinates/communicates with Project Managers, HVAC Field Technicians, customers, and Trane claims as necessary to resolve obstacles.
Generate Invoices and determining tax exemptions if applicable.
Generate Purchase Orders.
Setup of Customer accounts and Credit check.
Work on any customer invoice disputes as it relates to Rentals.
Produce monthly rental revenue forecasts.
Issue Subcontracts or work with contract management on any subcontract related work.
What you will bring:
One-year certificate from college or technical school; or three (3) plus years of related experience and/ or training; or equivalent combination of education and experience.
Participate in and contribute to lean improvements activities
Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
Proven experience prioritizing tasks in order to meet tight deadlines within a high-paced environment.
Familiarity with the operation of HVAC Systems preferred not required.
Flexibility to work overtime/ weekends, as required.
