Responsible for supporting purchasing and sales operations by processing orders, preparing quotes, and managing invoicing and inventory control activities. Communicates with growers, packinghouse customers, and internal teams to promote business and ensure accurate, timely order fulfillment. Assists leadership with administrative tasks and coordinates safety meeting schedules.
Essential Job functions/ Duties:
- Process customer orders through incoming calls and emails.
- Fulfills customer orders and requirements.
- Process sales orders and invoice customers for stock items.
- Process special orders for approved non-stock items per customer requirements.
- On unfamiliar items / vendors, forward special-order requests to the Operations Supervisor for pricing and availability
- Update customers regarding inventory availability and arrival dates.
- Follow up with 24 hours after a deliver has been made for accuracy and overall customer satisfaction.
- Report packaging shortages to the contract packaging team on a daily basis.
- Report all stock-outs and near stock-outs for Service items. Provide on-hand quantities to sales and warehouse associates for stock check requests.
- Monitor open sales orders regularly; ensure all open sales orders are closed by month end.
- File all miscellaneous invoices by vendor after one week of scanning to accounting or attach through SAP document flow.
- Work closely with management and supervisors to accommodate administrative business needs. Order office and stockroom supplies as needed.
- Perform other duties and assist other positions as assigned.

Minimum Qualifications (Education, Certifications/Licenses, and Experience:
- Two years’ experience related to administrative operations (outlook, word, excel). Experience with supplies and equipment inventory tracking.
- Preferred two-year associate’s in business or a related field; or equivalent education and work experience related to agriculture or purchasing.
- Minimum High School or GED or other related field; or equivalent
- Ability to perform functions of a complex nature is highly desirable.
- Possesses strong verbal and written communication skills, and effective interaction skills on an individual and group basis.
- Ability to be bilingual (English/Spanish) is not necessary but desirable.
- Possesses excellent Customer Service and Inter-personal skills and be able to deal with individuals in a positive and professional manner.
- Possesses proficiency in Microsoft Office; Excel, Word, Power Point, SAP a plus.
- Ability to help with reconciling inventory at week end and month end for Inventory control.
- Ability to minimize cost of office supplies by sourcing from a variety of approved suppliers.
- Possesses clear, concise and effective communication skills.
- Possesses excellent computer skills – SAP a plus, Microsoft office – Outlook, Excel, Word, etc.
