School Nutrition Payroll Manager


 


JOB DESCRIPTION


 


REPORTS TO: Director of School Nutrition


 


TERM: 12 Months


 


JOB GOAL


The school nutrition finance/payroll manager will work to ensure that all school cafeterias and the Nutrition departments are in compliance with state and federal regulations and requirements.


 


GENERAL RESPONSIBILITIES


 


Managerial Duties


 



  • Prepares financial statements and cost reports that reflect the financial condition for each school cafeteria monthly or as needed

  • Issues purchase orders for all purchases

  • Submits monthly finance statements to the Board meeting

  • Attends training and conferences to maintain continuous education requirements

  • Aids HCS Benefits Specialist in helping cafeteria staff with insurance issues

  • Files claims with Tennessee Risk Management (Workers Comp) for employees who are injured on the job

  • Assist in preparation for food service budget

  • Updates all records of the national school lunch and breakfast program in a timely manner and keeps accurate filing system

  • Assist director to facilitate new employee orientation if needed

  • Assist in the compiling of information for preparing various reports for the department in accordance with regulatory agencies and administrative guidelines

  • Maintains a file system for the department in accordance with regulatory agencies and administrative guidelines

  • Assist in getting quotes processing purchase requisitions for purchase orders and all processes in accordance with regulatory agencies and administrative guidelines

  • Orders office supplies is needed

  • Provides administrative support for Nutrition Director as far as budget projection, employee resolution and new hires

  • Stands in where needed


 


Accounting


 



  • Reconciles bank account with bank statement

  • Ensures that book balances with the county trustee’s office monthly

  • Checks vendor invoices against purchase orders

  • Researches and resolves discrepancies regarding payment of accounts, purchase orders, and requisitions

  • Enters purchase orders and invoices into computerized accounts payable system (Flex Gen)

  • Writes and submits vendor checks

  • Makes Journal Entries

  • Submits Rebates

  • Compiles monthly reports to submit USDA claim for meal reimbursement

  • Prepares reports and documents at auditor’s request

  • Implements efficient management techniques to ensure all records and supporting documents are maintained in accordance with local state and federal laws and policies

  • Assist with the month-end and a year-end close and financial reporting


 


Payroll



  • Reviews employees time sheets against approval hours

  • Preparers Payroll

  • Performs other duties associated with payrolls such as withholding social security, retirement insurance child support and garnishments

  • Run’s payroll for all HCS nutrition staff

  • Prepares the quarterly 941 form

  • Updates payroll records by entering changes in exemptions insurance coverage savings deductions and job title and school transfers


 


PREFERRED QUALIFICATIONS


 



  • Completion of CCFO program for the TN comptroller's office

  • Proven experience working collaboratively with finance and school nutrition

  • Strong written and verbal communication skills

  • Ability to handle sensitive and confidential information with discretion

  • Valid driver's license and successful completion of thorough background investigation
