 Senior Maintenance Administrative Supervisor

Summary:

The Senior Maintenance Administrative Supervisor provides centralized leadership for the administrative, purchasing, and financial workflows supporting the Maintenance & Engineering Department. This position oversees the end-to-end purchase requisition and invoicing process, ensures financial accuracy and compliance, supervises administrative staff, and serves as a key liaison between maintenance leadership, employees, production, vendors, and corporate support functions. The role requires strong organizational, financial, and leadership skills to support operational efficiency and departmental objectives.

Essential Duties & Responsibilities:

• Manage the full purchase requisition (PR) to invoice lifecycle across all supported departments and projects.
 • Coordinate parts ordering, vendor quotations, purchase requests, and Accounts Payable activities.
 • Validate billing information, investigate discrepancies, and resolve invoice-related issues.
 • Monitor outstanding invoices and support departmental budget forecasting and capital expenditure planning.
 • Ensure compliance with maintenance policies, procedures, ETQ requirements, and company standards.
 • Identify opportunities for process improvements and implement administrative efficiencies.
 • Supervise and develop Administrative Assistants through daily work assignments, workload management, performance monitoring, and coaching.
 • Complete and maintain HR-related documentation including transfers, terminations, pay changes, staffing documentation, and disciplinary records.
 • Assist with interviewing and onboarding activities as needed.
 • Support the development and maintenance of Standard Operating Procedures (SOPs), training materials, and departmental documentation.
 • Maintain confidential records and filing systems while ensuring document accuracy and compliance.
 • Serve as the primary administrative liaison between the Senior Maintenance Manager, maintenance employees, production departments, vendors, and external partners.
 • Coordinate calendars, meetings, agendas, and meeting minutes for maintenance leadership.
 • Prepare KPI reports, presentations, spreadsheets, dashboards, and graphical reports for management review.
 • Perform data entry, tracking, reporting, and analysis related to maintenance operations.
 • Coordinate maintenance shutdown purchasing activities and vendor support requirements.
 • Manage vendor relationships and track contractor services supporting maintenance operations.
 • Coordinate departmental supply ordering, package distribution, uniform programs, and onboarding support activities.
 • Support IT onboarding and setup requirements for new employees.
 • Promote and support safety initiatives, housekeeping standards, and 5S activities.
 • Perform additional duties and special projects as assigned.

Education & Experience:

• Associate degree or Bachelor's degree in Business Administration, Accounting, Finance, Management, or a related field preferred.
 • Equivalent combination of education and experience may be considered.
 • Minimum of five (5) years of administrative experience, preferably within a manufacturing, maintenance, engineering, or industrial environment.
 • Previous supervisory or leadership experience preferred.
 • Experience with purchasing, procurement, invoicing, and Accounts Payable processes preferred.

 Preferred Qualifications:

• Strong knowledge of purchasing, procurement, invoice processing, and financial administration.
 • Experience supporting maintenance, engineering, or manufacturing operations.
 • Proficiency in Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
 • Experience with ETQ or similar quality/compliance management systems preferred.
 • Strong financial acumen and analytical skills.
 • Excellent organizational and time management skills.
 • Strong leadership, coaching, and employee development capabilities.
 • Excellent written and verbal communication skills.
 • Ability to manage multiple priorities in a fast-paced manufacturing environment.
 • Strong attention to detail and accuracy.
 • Ability to handle confidential and sensitive information with discretion and professionalism.

Physical Requirements:

• Frequent sitting, standing, and walking throughout office and manufacturing areas.
 • Ability to use computers and standard office equipment for extended periods.
 • Occasional bending, reaching, stooping, and lifting materials weighing up to 25 pounds.
 • Ability to move throughout the facility to support departmental operations and employee interactions.

Work Environment:

• Combination of office and manufacturing facility work environments.
 • Daily interaction with maintenance, engineering, production, vendors, contractors, and support departments.
 • Exposure to manufacturing operations, equipment, noise, and industrial environments when supporting plant activities.
 • Personal Protective Equipment (PPE) may be required when entering production areas.

 Supervisory Responsibilities:

• Directly supervises four (4) Administrative Assistants.
 • Responsible for work assignment, performance management, coaching, training, and development of administrative personnel.
