Role Overview
The Shipping Coordinator is responsible for managing all inbound and outbound documentation, ensuring accuracy within D365, coordinating inventory flow, cycle counting, and supporting warehouse operations. This role maintains compliance with DOT, Environmental Health & Safety (EHS) standards, and internal facility requirements while communicating effectively across logistics, operations, and warehouse teams.

Key Responsibilities
1. Inbound & Outbound Documentation
- Handle and complete all paperwork for inbound and outbound shipments.
- Confirm that all Bills of Lading (BOLs) are signed, accurate, and properly documented in D365.
- Immediately close all shipments as they arrive or leave the facility.
2. Inventory Coordination
- Work closely with logistics to maintain a steady flow of materials entering and leaving the facility.
- Manage inventory levels, perform adjustments, and ensure accuracy across all warehouse locations.
- Provide accurate picking lists and verify that all staged materials match required documentation before shipping
- Coordinate the creating and closing of all Work Orders and Production orders ensuring that accurate information is flowing to Finance in near real time.
- Champion the cycle count process by monitoring and actioning issues as they are identified.
- Collaborate with Manufacturing to ensure the correct material is stage each day at the production lines and offtakes are clearly marked and accurate in D365.
3. Trailer & Storage Management
- Manage, document, and monitor storage trailers to ensure accurate inventory tracking.
Oversee all non‑product materials—including drums, cardboard, plastic, and steel—ensuring proper storage and usage of documentation.4. Issue Resolution
- Identify, troubleshoot, and correct issues occurring during inbound or outbound processes.
- Communicate effectively with warehouse staff, logistics, and production to resolve problems quickly and minimize workflow disruptions.
5. Compliance, Safety & Environmental Responsibilities
- Verify all outbound loads to meet DOT requirements and other applicable regulations.
- Ensure all shipment documentation meets compliance standards before release from the facility.
- Comply with all Environmental, Health, and Safety (EHS) regulations, policies, and procedures.
- Conduct daily environmental inspections of sorting and staging areas to ensure conditions meet environmental compliance standards.
6. Communication & Coordination
- Communicate clearly with internal teams to support continuous workflow.
- Prioritize workload to meet shipping deadlines and production needs.
7. Training & Team Support
- Train warehouse employees on inbound/outbound processes.
- Provide instruction on inventory accuracy steps and proper documentation procedures
8. 5S Lead
- Lead, develop, and execute 5S projects across the facility, including organizing, labeling, and cleaning.
- Collaborate with operations to implement Visual management of all inventory.
