Job Description

The Administrative Assistant will report directly to the Executive Assistant to the President and provide general administrative support to the Survey team. The Administrative Assistant should have experience with a variety of Microsoft Office software and be able to accurately handle additional duties as assigned. The Administrative Assistant will be a champion and leader of our company’s core values while maintaining internal and external customer engagement and satisfaction. 

Some responsibilities include:

  • Answering phones and transferring calls to appropriate personnel
  • Reviewing employee time and expense reports
  • Approving invoices for various vendors
  • Maintaining inventory and ordering office supplies as needed
  • Scanning, organizing, and researching various documents in the Survey library
  • Sending correspondence and packages via Fed-Ex and USPS 
  • Managing schedules, correspondence, and administrative tasks 
  • Helping create presentations, reports, and internal documents as requested 
  • Taking clear and organized notes during meetings while ensuring confidentiality 
  • Assisting with front desk operations as needed, serving as backup coverage during breaks, lunches, and staff absences while providing professional customer service to visitors and callers
  • High school diploma or equivalent required; associate or bachelor’s degree – preferred 
  • Excellent time management skills and ability to manage multiple tasks, prioritize effectively and meet deadlines 
  • Effective oral and written communication skills with a strong suit in interpersonal skills
  • Able to anticipate needs and provide solutions proactively 
  • Previous administrative or office support experience – preferred
