This is an exciting time to work for Amarillo College! We are seeking our next Full-time Third-Party Billing Specialist who will be all-in on our mission and who will be responsible for processing and managing third-party billing activities, including invoicing sponsors, monitoring outstanding balances, posting payments, and maintaining accurate account records. This position serves as a primary point of contact for sponsor and student billing inquiries and works to ensure timely and accurate billing, payment processing, and account reconciliation for sponsored student and vendor accounts.

Position Duties

EDUCATION
Required: High School Diploma or General Education Diploma (GED).
Preferred:   Associate Degree in Business Administration, Accounting, Finance, or a related field.
 
EXPERIENCE
Required:   One (1) year of clerical or office experience with knowledge of general accounting principles.
Preferred:  Two (2) years of clerical, accounting, billing, or customer service experience with knowledge of general accounting principles.

Minimum Qualifications

  • Initiate and maintain sponsored student records in applicable software systems for billing purposes.
  • Prepare and distribute invoices, account statements, and billing updates to sponsors.
  • Maintain accurate records of sponsor accounts, contracts, payments, and billing activity.
  • Monitor outstanding balances and send billing notices and account updates as needed.
  • Respond to sponsor, student, and vendor questions regarding invoices, payments, account balances, and billing processes.
  • Process and post sponsor payments to student and vendor accounts accurately and timely.
  • Generate and maintain reports related to sponsored students, courses, billing activity, and outstanding balances.
  • Receive, reconcile, and post payments to student and sponsor accounts.
  • Balance daily receipts and prepare bank deposits, ensuring all cash, checks, and credit card transactions reconcile with system records.
  • Review, revise, and reissue third-party billings as necessary.
  • Remove approved credit restriction holds from student accounts.
  • Answer internal and external phone calls related to student accounts and billing matters.
  • Monitor and respond to inquiries received through Business Office email accounts.
  • Maintain confidentiality and securely handle sensitive student, sponsor, and payment information.
  • Provide backup support for Business Office functions as needed.
  • Perform other work-related duties as required.

Other Qualifications

  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Knowledge of basic accounting, billing, and cash-handling practices.
  • Strong organizational skills and attention to detail.
  • Effective verbal and written communication skills.
  • Ability to explain account balances, billing processes, and payment requirements clearly and professionally.
  • Strong customer service and problem-solving skills.
  • Ability to maintain accurate records and process transactions with a high degree of accuracy.
  • Ability to work independently and collaboratively as part of a team.
  • Knowledge of College and departmental policies, procedures, and applicable regulations.
  • Ability to establish and maintain positive working relationships with students, sponsors, vendors, and College personnel.

Salary: Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long-term growth within each position. 

Pay grade 8 Amarillo College Pay Grades(salary is determined by Human Resources based on education, work experience and internal comparisons). 

Physical Demands: While performing the duties of this position, the employee may be required to travel between offices and campus locations and occasionally lift, carry, push, or move materials and office supplies up to twenty-five (25) pounds as needed.

Work Conditions: Must be willing to work a flexible schedule, including occasional evenings, weekends, and special events as needed.

Work Environment: This position operates in a professional office environment and routinely utilizes standard office equipment, including computers, phones, printers, scanners, and copy machines. Software commonly used includes Microsoft Office Suite, Colleague, procurement and financial systems, and other College business applications. The position requires frequent interaction with vendors, faculty, staff, and administrators and may involve managing multiple priorities, deadlines, and interruptions in a fast-paced environment. Work may occasionally require travel between campus locations and attendance at meetings, training sessions, or vendor-related events.
