Position Purpose
The Operations Manager is responsible for the administration, coordination, and optimization of CASE’s operational and business development infrastructure, supporting enterprise‑wide initiatives that advance organizational effectiveness and revenue growth. Reporting to the Executive Vice President and Chief Operating Officer (EVP/COO), this role exercises independent judgment and discretion on matters of organizational significance, including project governance, operational workflows, performance metrics, and cross‑functional coordination.
The Operations Manager serves as a key administrative partner to senior leadership by designing and implementing operational systems, monitoring organizational performance, and advising on execution risks and opportunities across multiple business and strategic initiatives.
Essential Functions
The core functions of this position include but are not limited to the following:
Enterprise Project & Initiative Administration
- Administers enterprise‑level project management for priority operational and business development initiatives, independently establishing planning frameworks, timelines, accountability structures, and performance benchmarks.
- Develops and maintains dashboards, reports, and analytical tools to evaluate project health, resource alignment, risks, and execution progress, and interprets results to inform leadership decision‑making.
- Advises project leaders and senior management on project dependencies, prioritization, and operational impacts, exercising judgment in identifying issues requiring escalation or intervention.
- Establishes and implements mechanisms for reviewing project milestones and organizational performance metrics to support consistent execution across departments.
Operations & Business Development Management
- Designs, evaluates, and optimizes operational processes supporting CASE’s business development and revenue‑generating activities, independently identifying inefficiencies and determining appropriate improvements.
- Oversees the operational administration of proposals, presentations, and business development deliverables, coordinating cross‑functional inputs and assessing operational feasibility and readiness.
- Independently determines coordination strategies, workflows, and documentation standards to support efficient collaboration across internal and external stakeholders.
- Monitors operational performance and execution metrics, providing synthesized insights and recommendations to leadership regarding process improvement and scalability.
Strategic Support & Advisory Role
- Partners with the EVP/COO and senior staff to translate strategic priorities into operational plans, identifying risks, dependencies, and execution considerations.
- Supports the implementation of organizational objectives outlined in the CASE Strategic Plan by aligning operational processes and project governance structures.
- Maintains a comprehensive understanding of CASE’s organizational structure, culture, systems, and interdependencies to proactively anticipate operational needs and challenges.
Stakeholder Coordination & Organizational Liaison
- Serves as an administrative liaison across CASE divisions, regions, and global colleagues to ensure alignment, clarity of responsibilities, and consistent application of operational standards.
- Leads cross‑functional operational discussions and forums related to project execution, business development activities, and strategic initiatives.
- Engages with senior volunteers, members, contractors, and external stakeholders as appropriate, exercising discretion, diplomacy, and confidentiality.
- Incorporates tasks and/or projects related to objectives as directed by the CASE Strategic Plan.
Image Responsibilities

Job Complexity and Knowledge
This position exercises independent judgment on matters of organizational significance, including determining project management approaches, operational workflows, performance indicators, and coordination strategies. The Operations Manager evaluates alternative courses of action, resolves non‑routine operational issues, and provides informed recommendations to senior leadership with minimal supervision.
- Operates with broad direction from the EVP/COO and is expected to work with a high degree of autonomy, discretion, confidentiality, and professional judgment.
- Requires the ability to balance multiple enterprise‑level initiatives and competing priorities in a complex, global organizational environment.
- Demands strong analytical, organizational, and interpersonal skills to influence outcomes without direct supervisory authority.

POSITION REQUIREMENTS
Education and Experience:
- Bachelor’s degree in business administration, operations management, marketing, or a related field required.
- 3–5 years of progressive experience in operations management, project management, business operations, or related professional roles supporting organizational leadership.
- Demonstrated experience administering complex projects, operational processes, or enterprise initiatives.
Skills and Abilities:
- A demonstrated interest in advancing education in the not-for-profit sector.
- A strong commitment to contributing to an organizational culture that celebrates diversity and inclusion.
- An understanding and interest in engaging with a broad range of cultures and countries.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with diverse stakeholders.
- Proficiency in project management tools, CRM software, and Microsoft Office Suite, with advanced Excel skills preferred. Familiarity with Smartsheet and HubSpot is a plus.
- Analytical mindset with the ability to gather, analyze, and interpret data to drive informed decisions.
- Detail-oriented approach with a focus on quality, accuracy, and attention to detail.
- Proactive attitude with a willingness to take initiative and drive results.
