Position Description
CAETA and Lap of Love Veterinary Hospice, headquartered in Lutz, FL., seeks to add a key member to its growing team by employing a dynamic Veterinary Education Coordinator to support our CAETA team. This individual will play an integral role in delivering exceptional educational experiences for veterinary professionals while supporting the continued growth of CAETA’s programs.
This position coordinates educational events, manages program logistics, supports veterinary practices participating in certification programs, and ensures sponsors, speakers, attendees, and veterinary partners receive an outstanding experience from beginning to end. This individual will also help bring educational initiatives to life while building lasting relationships with veterinary practices participating in CAETA’s Certified Peaceful Euthanasia Practice program.

Requirements
Essential Functions and Responsibilities:
- Educational Events & Program Coordination
- Coordinate webinars, conferences, wet labs, dry labs, and other educational programs from planning through completion.
- Manage project timelines, event logistics, registrations, communications, educational materials, and post-event follow-up.
- Coordinate speakers, instructors, vendors, venues, and educational partners to ensure seamless event execution.
- Prepare and coordinate continuing education (CE) approval applications and supporting documentation, helping ensure educational programs meet accreditation requirements and deadlines.
- Assist with on-site event support as needed.
- Certified Peaceful Euthanasia Practice Program
- Serve as the primary coordinator for veterinary practices participating in CAETA's Certified Peaceful Euthanasia Practice program.
- Guide newly enrolled practices through onboarding and help them understand program expectations and timelines.
- Schedule regular check-ins with participating practices to encourage engagement, answer questions, and support continued progress toward certification.
- Track practice participation and certification milestones while proactively helping practices remain on schedule.
- Maintain accurate program records and provide progress reporting to Academy leadership.
- Sponsor & Partner Support
- Coordinate sponsorship deliverables and ensure sponsor commitments are fulfilled before, during, and after educational events.
- Maintain positive relationships with sponsors, speakers, and educational partners.
- Collect and organize promotional materials, logos, presentations, and event assets.
- Administrative & Team Support
- Prepare communications, presentations, reports, and educational materials.
- Maintain organized documentation, project files, and event records.
- Assist with reporting, budgeting, and ongoing program improvements.
- Collaborate across Marketing, Clinic Relations, Recruiting, and Veterinary Operations to support educational initiatives.
Experience, Education and Requirements:
- Bachelor's degree in Event Management, Marketing, Communications, Business Administration, or related field (or equivalent experience) required
- 2–4 years of experience coordinating events, educational programs, project management, or customer success required
- Experience coordinating continuing education and professional development programs preferred
- Veterinary or healthcare industry experience preferred
- Experience with webinar platforms, CRM systems, and project management software (Monday.com) preferred
- Experience supporting client or partner success programs preferred
- Exceptional organizational and project management skills
- Excellent written and verbal communication
- Strong attention to detail and ability to manage multiple priorities simultaneously
- Proficiency with Microsoft Office and Google Workspace
- Ability to work independently while collaborating across departments
Physical and Other Job Requirements:
- Able to sit for prolonged periods of time of up to 8 hours per day
- Able to frequently communicate by telephone and through use of computer technologies, including but not limited to email and video conferencing
- Possess manual dexterity, fine motor skills, and the ability to operate a computer, read a computer screen and type on a keyboard for prolonged periods of time of up to 8 hours per day
- Able to multitask using multiple computer tabs/platforms while engaging in conversation
- Average or above average working knowledge of computers, email, video conferencing technologies, and digital medical records
- Able to quickly learn custom software and other programs, such as Zoom, Sunshine, and Google Suite
- Average or above average working knowledge of the internet and scheduling and communications applications and software, such as Gmail, Google Calendar, and web-based communication platforms
- Access to reliable and secure internet
- Maintain confidentiality of all patient, client, and business information
- Comply with all applicable laws, regulations, policies, procedures, and guidelines
