Job Description

Job Title: Office Coordinator

Reports To: Director of Housing

Location: The Summit at Queens College, Flushing, NY

Compensation: $21.00 – $22.50 per hour and a comprehensive benefits package

FLSA Status: Non-Exempt

Capstone On-Campus Management (COCM), with headquarters in Birmingham, Alabama, is a group of student housing professionals focused exclusively on the management of housing communities owned by non-profits and/or highly affiliated with a university.


Summary:

The Office Coordinator is primarily responsible for all aspects of the day-to-day operation of the high-traffic Student Housing Office. As the first point of contact for residents and guests, the Office Coordinator presents a customer-first attitude while working with efficiency and organization. The position communicates frequently via phone, e-mail, and in-person. Responsibilities also include coordination of resident amenities programs such as processing of packages and deliveries and key check-out, as well as various administrative tasks.


Essential Duties and Responsibilities: 

  • Answers phones, answers questions, welcomes guests into the office
  • Monitors and responds to office e-mail
  • Coordinates and conducts tours of facility for prospective residents and campus groups
  • Coordinates and monitors spare key and lock-out process. Conduct daily audits of electronic key boxes and coordinate follow-up for missing keys. 
  • Assists with accounts receivable and accounts payable
  • Assists in maintaining accurate and complete student records/files. 
  • Coordinates office-wide ordering of office supplies and maintains inventory of said items
  • Assigns Mailbox Numbers, oversees mail distribution, package logging and package dissemination
  • Collaborates with all staff to ensure community service needs are aligned and recorded including accounts, maintenance, leasing, and emergent resident concerns
  • Schedules meetings for office staff with interested parties as needed
  • Manages door access via BlackBoard through Queens College
  • Maintains confidentiality of all information about our residents and company
  • Performs other clerical duties as needed, such as filing, photocopying, and collating. 
  • Other duties as assigned

  • High school diploma or GED equivalent
  • 3-5 years of clerical experience including accounts payables and receivables
  • Customer service experience.
  • Proficiency in property management software (Entrata) preferred.
  • Proficiency in Microsoft Office (Word, Excel and E-mail).
  • Ability to operate office equipment including computer, mobile electronic devices, copier and telephone
  • High degree of organizational and administrative efficiency
  • Ability to effectively communicate in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to manage multiple tasks and competing priorities in a dynamic environment.
  • Ability to move/lift up to 35 pounds.
