SUMMARY: The job of School Office Coordinator is done for the purpose(s) of providing clerical support to school site administrative functions; conveying information regarding school and/or district functions; ensuring compliance with financial, legal and administrative requirement of assigned functions.
REQUIRED QUALIFICATIONS:
- High school diploma, GED or equivalent
- Social Security Card
- Proof of immunity to Measles and German Measles
- Valid picture ID
- Fingerprint/background clearance (upon employment)
- Job-related experience with increasing levels of responsibility

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Administers first-aid and medication to students as may be required under the direction of health professional for the purpose of meeting immediate health-care needs
- Composes documents (e.g. correspondence, agendas, minutes, bulletins, reports, etc.) for the purpose of communicating information to school and District personnel, the public and/or state officials, etc.
- Coordinates programs and/or activities (e.g. speakers, dances, luncheons, field trips, etc.) for the purpose of ensuring proper notification to parents, staff, administrators, etc.
- Evaluates situations (e.g. involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution
- Handles funds for the purpose of processing student fees, sale of products, etc.
- Monitors assigned activities and/or program components (e.g. payroll, attendance, program budget, time sheets, etc.) for the purpose of ensuring compliance with financial, legal and/or administrative requirements
- Orients new site personnel regarding appropriate school and District practices for the purpose of effectively assimilating new personnel into site operations
- Oversees student workers, volunteers, instructional assistants, etc., for the purpose of ensuring appropriate class credit and/or meeting work requirements
- Prepares written materials (e.g. purchase orders, work orders, minutes, brochures, newsletters, etc.) for the purpose of conveying information regarding school and/or District activities and procedures
- Processes documents and materials (e.g. requisitions, schedules, attendance reports, agendas, mail etc.) for the purpose of disseminating information to appropriate parties
- Processes substitutes for the purpose of providing complete and accurate documentation on faculty
- Reconciles cash accounts as assigned for the purpose of maintaining accurate balances and complying with accounting practices
- Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required
- Secures substitutes for the purpose of ensuring adequate staffing
- Supervises students for the purpose of monitoring students referred for illness and/or disciplinary actions
- Supports principal and/or other school administrative personnel for the purpose of providing assistance with their administrative functions
- Maintains inventories of supplies and materials for the purpose of ensuring items’ availability
- Maintains office in a neat and orderly fashion for the purpose of ensuring an appealing and efficient work area
- Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee
SKILLS, KNOWLEDGE AND ABILITIES:
Skills are required to perform single, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: analyzing and interpreting technical procedures and governmental regulations; utilizing standard office equipment; and utilizing pertinent software applications.
Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: pertinent codes, policies, regulations and/or laws.
Ability is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific defined processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize specific, job-related equipment. In working with
others, independent problem solving is required to analyze issues and create action plans. Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is limited. WORK ENVIRONMENT:
The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing and/or pulling; frequent stooping, kneeling, crouching and/or crawling; and significant fine-finger dexterity. Generally the job requires 50% sitting, 25% walking and 25% standing. The job is performed in a generally clean and healthy environment.
