TITLE: Office Manager


 


POSTION TYPE: Clerical

Required:



  1. High School diploma, HiSET, or GED

  2. Previous office experience

  3. Supervisory skills

  4. Computer/typing skills

  5. Basic bookkeeping skills

  6. Oral and written communication skills

  7. Operation of office equipment


Desired:



  1. Previous supervisory experience

  2. Strong organization skills

  3. Attention to detail

  4. Post-secondary education (Associate's Degree)

  5. Second language spoken that aligns with the school population.


 


BASIC FUNCTION:


Manage the school office, supervise other staff, assist the Building Administrator and perform general office skills.


 


ESSENTIAL FUNCTIONS: 



  1. Manage day-to-day office activities.

  2. Maintain attendance records.

  3. Maintain inventory and order supplies.

  4. Manage accounting and payroll activities including first-level review of NOVAtimetimesheets.

  5. Manage enrollment, registration, and transfer of students.

  6. Handle transportation requests throughout the year as requested.

  7. Receive school visitors and parents, answer questions or direct them to the appropriate person.

  8. Provide minor health service functions in absence of the nurse.

  9. Maintain office equipment and order supplies for machines.

  10. Maintain financial accounting records according to the district guidelines (includingPCards)

  11. Maintain student records according to state and district guidelines.

  12. Process all billings and statements.

  13. Prepare, record, and submit payroll.

  14. Answer telephone, take messages, and relay messages.

  15. Develop forms and surveys for building use.

  16. Assist with weekly bulletin and calendar events that pertain to staff.

  17. Sort and distribute office mail.

  18. Record, count, and deposit funds for building projects.

  19. Collect, record, and deposit funds and issue receipts for payment of textbook fees.

  20. Prepare, copy, and distribute materials to staff and parents as directed.

  21. Schedule parent-teacher conferences as directed.

  22. Complete and document month end activities from Business and Finance 

  23. Attend all mandatory trainings and meetings

  3. Maintain satisfactory and harmonious working relationships with the public, students, and other employees.

PHYSICAL REQUIREMENTS:


Frequent: Standing, walking, sitting.


Moderate: Bending/stooping, Reaching/pushing/pulling, climbing stairs, driving, Lifting up to 20 lbs for 25 feet.


Tasks: Telephone, computer


WORKING CONDITIONS: Constant inside. Occasionally outside during extremes of temperature/humidity
