What This Role Really Is
You are the start of the story.
You guide families from “we think we need help” to “services are scheduled.”
You explain next steps clearly.
You collect what’s needed.
You make sure required paperwork is submitted as quickly as possible so families don’t experience delays in starting services.
If something is missing, you step in and do whatever it takes to help parents obtain it — including following up with physicians or insurance when necessary.
You push the intake pipeline forward without making families feel pushed.
You are not just sending forms and waiting.
You are actively facilitating the process.
You operate as an assistant to the parent during this stage — not someone sitting back saying, “Please send me your documents.”
What You’ll Actually Be Doing
Talking to families on the phone, emailing, texting, and being the calm voice that explains what happens next.
Sending intake packets and tracking every required document until complete.
Checking insurance eligibility and managing Verification of Benefits
Obtaining and facilitating required documentation so services can start without unnecessary delays.
Communicating regularly so families are never left wondering, “What’s going on?”
Escalating delays and solving gaps before they stall the process.
Making sure the transition from intake to active services feels smooth and intentional.
You are not just processing forms.

What Makes Someone Great Here
You don’t ignore follow-ups.
You don’t get overwhelmed when five cases move at once.
You can be warm without being scattered.
You can be organized without being robotic.
You’re confident on the phone.
You understand that clarity reduces anxiety.
Experience in intake, healthcare coordination, or administration helps.
ABA experience is great but not required.
Spanish bilingual is a plus.
