Job Description

ESSENTIAL FUNCTIONS:

  • Process vehicle titles and registrations for new and used car sales
  • Verify accuracy of legal documents, including titles, MSOs, liens, and payoff information
  • Submit title paperwork to the appropriate state agencies within required timelines
  • Prepare tax, title, and license documentation for customers
  • Handle out-of-state title processing when applicable
  • Maintain organized records of all title transactions and documentation
  • Follow up on missing or incomplete paperwork with sales staff, customers, and lenders
  • Monitor and resolve title discrepancies or delays
  • Ensure compliance with DMV/state regulations and dealership policies
  • Assist with audits related to title and registration documentation
  • Process trade-in payoffs and lien releases
  • Provide support to accounting and sales departments as needed

MINIMUM QUALIFICATIONS/SKILLS:

  • High school diploma or equivalent (Associate’s degree preferred)
  • 1–3 years of automotive title or dealership administrative experience preferred
  • Knowledge of DMV processes, title laws, and registration requirements
  • Strong attention to detail and organizational skills
  • Ability to handle multiple tasks and meet deadlines
  • Proficient in Microsoft Office and dealership management systems (Tekion)

SUPERVISORY RESPONSIBILLITIES:

This role has no supervisory responsibilities

 WORK ENVIRONMENT:

This job operates in a professional office environment with frequent travel between dealership locations and local offices. This role routinely uses standard office equipment such as computers, phones, printers. with

 PHYSICAL DEMANDS:

  • Must be able to lift up to 10 pounds independently; majority of lifting from knee to shoulder heights; other lifting required from various levels
  • Requires standing for extended period with frequent stretching, reaching, walking and stooping, pushing and/or pulling in an environment that may be cold, hot, noisy, and wet and may have fumes or odors due to vehicle maintenance
  • May requires some driving and typing. Required to have visual acuity to operate motor vehicles
  • Requires excellent visual acuity and manual dexterity
