About the Role

We’re seeking a highly organized, proactive, and strategic Executive Assistant to the CEO who will act as both a key operational partner and the CEO’s right hand. This role goes beyond traditional administrative support, serving as a bridge between executive leadership, internal teams, and external stakeholders. You will function as a true “force multiplier,” managing complex administrative needs while leading projects, building visual tools and systems, and leveraging technology to improve efficiency and clarity across the organization.

In this role, you’ll oversee company expenses, track key performance indicators, and manage operational resources and logistics while coordinating high-priority initiatives and events. You’ll own projects from start to finish, exercise impeccable judgment when handling sensitive information, and seamlessly shift between priorities in a fast-paced environment. This position is ideal for a team-oriented professional who thrives on organization, problem-solving, and driving execution at the highest level.

Key Responsibilities:

Executive Support & Administration

  • Serve as the primary point of contact for the CEO, managing calendar, emails, and communications

  • Prepare and edit reports, presentations, and executive materials, including clear, structured, and visually organized tools that support decision-making

  • Facilitate smooth decision-making by organizing briefing documents, tracking action items, and following up with stakeholders

  • Handle sensitive and confidential information with absolute discretion and impeccable judgment

  • Anticipate needs and proactively address challenges before they arise, identifying risks and ensuring smooth execution

  • Leverage technology, tools, and automation to improve efficiency, communication, and organization

Operational Leadership

  • Own and manage strategic projects from start to finish, ensuring timelines, deliverables, and priorities are met

  • Monitor, analyze, and report on key performance indicators (KPIs) for the CEO using clear and actionable formats

  • Oversee company expenses, ensuring budgets are managed and financial reports are accurate

  • Manage and optimize company operational resources and logistics (e.g., vehicles, equipment, vendors), ensuring reliability and cost efficiency

  • Plan and execute company events, offsites, and executive meetings

  • Coordinate cross-departmental initiatives, ensuring projects stay aligned with company priorities and executed with discipline

  • Act as a liaison between the CEO and internal teams, vendors, and external partners

  • Build and maintain systems, dashboards, and visual trackers that improve transparency and operational clarity

What You Bring

  • 2–5 years of experience supporting C-level executives, ideally in dynamic or fast-growing organizations

  • Exceptional organizational skills with the ability to create clear systems and visual tools that drive alignment and execution

  • Proven ability to manage projects end-to-end, balancing multiple priorities while maintaining attention to detail

  • Strong judgment and the ability to handle confidential and sensitive information with discretion

  • Experience leveraging technology, automation tools, and systems to improve workflows and efficiency

  • A “Swiss Army Knife” mindset—you are equally comfortable booking travel, analyzing data, or drafting executive communications

  • Strong project management, analytical, and problem-solving skills

  • Excellent written and verbal communication skills

  • Proactive, hands-on, and solution-oriented approach

  • Experience managing budgets, KPIs, or operational workflows preferred

  • Valid driver’s license; comfort coordinating and managing company vehicles

Compensation & Benefits
