Job Description

Duties and Responsibilities

  • Effectively facilitate the work order system process, ensuring follow through to completion of assignments
  • Receive and organize engineering reports or other department requests
  • Send out daily updates on outstanding assignments
  • Update and maintain record of Preventive Maintenance rooms (PM ROOMS)
  • Order and keep track of all inventory.
  • Safeguard and maintain inventory of tools, ensuring that all tools are signed in and out by persons when requesting use
  • Establish and maintain excellent working relationships with internal and external vendors and contractors
  • Compose correspondence while maintaining confidentiality
  • Create presentations, reports and spreadsheets by obtaining, compiling and organizing relevant data
  • Maintain and organize a clean environment at all times
  • Maintain records, logs and prepare necessary engineering reports
  • Carry out order requisitions and issues supplies as directed
  • Provide information and recommendations on stock items and billing to other departments
  • Maintain a pleasant and friendly demeanor at all times
  • Maintain the strictest level of confidentiality at all times
  • Coordinate scheduled trainings for engineering staff as per Human Resources request
  • Monitor action items and request dates for completion to ensure effective and timely completion of requests
  • Create, implement and maintain administrative systems, procedures and processes including electronic and paper-based filing systems
  • Other duties assigned by Management.

Qualifications

  • High School Diploma mandatory
  • Two (2) years experience in an administrative position
  • Excellent verbal and written communication skills
  • Ability to work in a fast pace environment.
  • Ability to complete tasks with minimum insight or direction.
  • Must be a self-starter.
  • Must be congenial and a team player
  • Ability to read and interpret engineering related documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Procurement experience a plus
  • Excellent organization, problem solving and administrative skills
  • Strong PC skills with proficiency in Microsoft Office (Word, Excel, Power Point, Outlook)
  • Ability to quickly learn new systems and software
