We’re looking for experienced Admin Team lead to join our team in Brisbane to support our Leaders in the Brisbane Service Department and lead our Support team. This is a Permanent Monday to Friday position.

What you’ll be doing:  

As an Admin Team Lead at Hastings Deering, you will:  

  • People‑focused team leader provide hands‑on support and supervision to the Service Administration team, ensuring timely, accurate and efficient customer support.
  • Trusted executive support – deliver high‑quality administrative assistance to the Service Manager, Management Team and Business Centres.
  • Connector and problem solver act as a central liaison between business centres to resolve issues and ensure seamless information flow.
  • Governance‑minded partner with the Service Manager on internal audit requirements, drive implementation plans and maintain effective control systems.
  • Clear and engaging communicator – prepare and distribute bulletins, newsletters and updates to keep teams informed and aligned.
  • Commercially aware – ensure preferred supplier agreements are cost‑effective, high quality and reviewed regularly.
  • Operational support specialist – provide administrative support across workshop stores, WIP management, invoicing and preferred supplier agreement management.
  • Data‑driven organiser manage departmental databases and dashboards to support operational visibility and decision‑making.
  • Financially responsible – oversee the Service Department cash sale ledger and allocate tasks accordingly.
  • Performance‑focused monitor monthly trading statements and report variances to the Service Manager.

What you’ll need:  

A successful teammate will have experience in:   

  • Proven people leader – demonstrated experience supervising, leading and developing teams within a diversified organisation.
  • Strong communicator and negotiator – experienced in high‑interaction roles requiring problem resolution and negotiation.
  • Administration expert – extensive experience in fast‑paced environments with efficient data entry skills and exceptional attention to detail.
  • Self‑directed and decisive able to take ownership, prioritise effectively and deliver accurate outcomes with minimal direction.
  • Customer‑centric leader committed to driving high‑quality customer service through engaged and supported teams.
  • Collaborative operator – works effectively with management and staff to deliver required business outcomes.
  • Highly organised communicator – strong time management skills supported by clear verbal and written communication.
  • Proactive problem solver – shows initiative, makes sound decisions and resolves issues confidently.
