Essential Functions
Establishes and maintains a collaborative and positive partnership with our Orthodontists and Pediatric Dentists to align on actions to consistently deliver best care practices.
Develops doctor autonomy within the goals and expectations of the Partnership.
Builds and coaches highly effective and cohesive teams
In collaboration with Office Managers and Directors, produces systems which consistently exceed patient, employee, and customer experience goals based on eliminating roadblocks, coaching, and embracing accountability measures in all areas of FID which contribute to orthodontic successes.
Responsible for personnel management including, but not limited to, proper staffing levels, orthodontic onboarding/training oversight, annual reviews, growth initiatives, UKG management, corrective action, documentation, risk-management coaching, accountability measures, open discussions with teams to further push our goals forward in a unified, empowering culture.
Conducts end-of-month reporting and interpretation for Partnership
Handles escalated calls/reviews in a manner which reflects our core values and strengthens trust with our patients/parents.
Responsible for the development and maintenance of the department policy and procedure manual and ensure that policies and protocols are adhered to.
Generates, analyzes, and monitors various financial and quality reports, and reviews findings with the Orthodontist and clinic management on a regular basis.
Works with Accounts Receivable Manager to oversee billing, collection, reporting, and account reconciliation activities for the department according to specified deadlines.
Participates in Leadership Team, Staff, and Doctor meetings as needed.
Oversees special projects for the department or clinic as needed. Provides demographic insight for existing and potential future office locations.
Other duties as assigned.
Requirements
Minimum Requirements
High School Diploma
Minimum of two years of orthodontic office management preferred
Experience as an Orthodontic Assistant beneficial
Ability to establish effective working relationships with patients, parents, co-workers and doctors
Strong customer service skills and commitment to patient/parent satisfaction
Knowledge and/or experience with private insurance and Medical Assistance desired
Excellent organizational skills
Basic computer and data entry skills
Ability to read, analyze, and interpret financial reports and quality indicators
Requires proficiency with Microsoft Word and Excel. Experience with Dolphin, Ortho Track or similar software strongly desired
Requires local travel to other First Impressions offices
Must be able to promote teamwork and communication between coworkers
Ability to maintain patient and employee confidentiality

The Orthodontic Team Manager achieves patient and organizational goals by effectively directing the orthodontic line of business teams, ensuring execution of processes in both the administrative and clinical areas as well as assisting with human resource functions within dual-specialty, multi-location practice. In collaboration with the Operations Director, the Orthodontic Team Manager unites teams within the company to form a cohesive culture conducive of a thriving practice.
