Job Purpose
Supports day-to-day logistics operations related to aircraft spares, tools, and materials. Focuses on shipment execution, documentation accuracy, tracking, and coordination with internal stakeholders and external service providers, ensuring compliance with airline, customs, and regulatory requirements under the guidance of the Logistics Supervisor.
Key Result Responsibilities
Logistics Operations
- Assist in handling import, export, cross-trade, courier, and local deliveries of aircraft parts and consumables.
- Support coordination of routine, urgent, and AOG (Aircraft on Ground) shipments as per operational requirements.
- Track shipments proactively and follow up with freight forwarders, couriers, and internal teams to ensure timely delivery.
- Coordinate shipment execution in line with operational priorities and supervisor instructions.
Documentation & Record Management
- Ensure accuracy, completeness, and timely submission of all documents to relevant stakeholders.
- Maintain organized shipment records, logs, and trackers for audit and reference purposes.
- Assist in preparation, verification, and processing of logistics documentation, including: Commercial Invoices, Packing Lists, Air Waybills (AWB) and Import/Export documentation
Compliance & Regulatory Adherence
- Follow company SOPs, safety standards, and aviation regulatory requirements.
- Coordinate with freight forwarders to ensure correct documentation and smooth customs clearance.
- Ensure compliance with customs regulations, airline policies, and carrier requirements under supervision.
- Report discrepancies, shipment damages, or non-compliance issues to the Logistics Supervisor promptly.
Coordination & Communication
- Escalate delays or operational issues with clear and timely updates.
- Liaise with internal departments including Stores, Engineering, Procurement, and Finance to ensure shipment readiness.
- Communicate effectively with external stakeholders such as: Freight forwarders, Airlines, carriers, and NVOCCs, Transport providers and warehouse teams
Systems & Process Support
- Update shipment status and details in logistics systems and tracking tools.
- Support data entry, reporting, and performance tracking activities.
- Accumulate data for audits, inspections, and compliance checks by providing required documentation and data.
Qualifications (Academic, training, languages)
- Bachelor’s Degree or Diploma in Logistics, Supply Chain, Aviation, or a related field.
- Basic knowledge of logistics and supply chain processes.
- Understanding of air cargo operations (preferred).
- Strong attention to detail, especially in documentation.
- Effective communication and coordination skills.
- Ability to work under supervision and follow structured processes.
- Proficiency in MS Office and logistics/ERP systems.
- Demonstrates a proactive approach with a strong willingness to learn and develop.
- Willingness to work shifts or extended hours based on operational needs.
- Occasional visits to airports, warehouses, and service provider locations.
- Contributes positively within a team, fostering a collaborative and supportive work environment.
- Maintains a high level of reliability, responsibility, and attention to detail.
- Performs effectively in fast-paced, time-sensitive operational environments.
- Fluent in English Language.
Work Experience
- With 2-3 years of experience in freight forwarding, logistics, supply chain, air cargo.
