The Role

The Operations Senior Associate is responsible for administrative oversight, tax process and new client support, and office finance. The ideal candidate is an excellent project manager, successfully balancing strong multitasking, organization, and interpersonal skills.

 

Primary job responsibilities include:

 

Administrative and Facilities Responsibilities:

  • Supervision, coordination, and training of Office Assistants and Client Team Support (CTS) Group , including managing daily/weekly schedules.
  • Oversee other day-to-today tasks include monitoring/updating local intranet page, vendor maintenance and contracts, overseeing ordering, e.g. supplies, sending office-wide email updates.

Tax Process and New Client Responsibilities:

  • Development/execution of tax-related procedures, including coordinating improvements to the assembly and tax return client delivery processes.
  • Track office-wide deadlines of all client tax returns and communicate filing status to the tax teams.
  • Oversee Office Assistants on client intake process and preparation. Review office contracts and client records for accuracy.
  • Assist with productivity review for practice professionals including hours management, reports, and office policy support
  • Onboarding new clients, including assisting with drafting Engagement Letters, executing the Client Acceptance Process, and shepherding through to job code setup in the document management system and SAP.

Office Finance and Productivity Responsibilities:

  • Support day-to-day office financial operations with a focus on asset management activities.
  • Draft, review, and process vendor invoices, ensuring accuracy and proper documentation prior to submission.
  • Track receivables and follow up as needed to support timely collections and accurate reporting.
  • Coordinate with the Asset Management Team to submit invoices and assist in resolving discrepancies.
  • Review and approve employee expenses in alignment with firm policies.
  • Assist in maintaining office-wide finance policies and procedures to ensure consistency and compliance.

The Requirements

  • Bachelor’s degree preferred;
  • Professional services firm experience is a plus
  • Excellent project management skills
  • Outstanding multitasking and organizational skills
  • Strong people skills
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  • Excellent written and verbal communication skills
  • Ability to work in a deadline-driven environment and manage multiple projects/tasks with an attention to detail
  • Initiative to identify challenges and develop solutions in a fast-paced environment
  • Ability to interact with and gain the respect of all levels of the Firm
  • Due to the nature of this position, this role requires the candidate to be in office five days a week
  • This position supports tax department processes, therefore knowledge or prior experience in tax or public accounting is a plus, but not a requirement
