Responsibilities
Systems Administration & Integration
Administer and maintain key systems: HubSpot, Ruddr, Sage Intacct, ADP, Lever, Planful, and Zapier.
Ensure accurate data flow across HubSpot → Ruddr → Intacct for deal creation, project setup, billing, and reporting.
Support implementation of unified 2026 project codes and system updates.
Program & Change Management
Coordinate program timelines, dependencies, communication, and documentation across HR, Finance, Talent, and Operations.
Support year-end transitions (project codes, timesheets, expenses).
Create and update guides, SOPs, and training materials; facilitate workshops as needed.
Operational Improvements
Identify automation opportunities (especially via Zapier).
Improve data quality and streamline workflows across HR, Finance, and Operations.
Support leadership’s operational reporting needs.
Qualifications
Required
3–7 years in systems administration, business operations, or PMO roles.
Hands-on experience with 3+ of: HubSpot, Intacct, ADP, Lever, Planful, Zapier (Ruddr a major plus).
Strong understanding of cross-system workflows and SaaS integrations.
Excellent communication and documentation skills.
Preferred
Experience in consulting or professional services.
Familiarity with project accounting, time/expense processes, and ERP/CRM/PSA integrations.
Experience supporting large-scale system transitions.
