Position Summary:

We are seeking a highly organized, proactive Office Manager to oversee daily administrative operations. This role is critical in supporting technical staff, ensuring operational efficiency, and maintaining company compliance with internal procedures and external regulations.

Key Responsibilities:

  • Manage day-to-day office operations and administrative workflow
  • Assist President with all administrative functions
  • Support administrative staff
  • Serve as a liaison between technical teams, executives, and support staff to ensure smooth internal communication
  • Oversee document control, records management, and correspondence tracking
  • Maintain company compliance with internal policies and external industry, legal, and regulatory requirements
  • Coordinate office supplies, service vendors, equipment, and maintenance needs
  • Assist in onboarding and orientation for new employees, including workspace setup and HR documentation
  • Manage calendars, meeting coordination, and internal event planning
  • Support proposal preparation, project setup, and contract documentation
  • Implement and improve administrative systems and processes to support efficiency and productivity.
  • Perform administrative duties as the job requires.

Qualifications:

  • Minimum 5 years of experience in office management, preferably within an engineering, surveying, construction, or technical services firm
  • Strong organizational and multitasking skills
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management systems
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and handle sensitive information professionally
