Role Overview

We are looking for a highly organized, proactive, and extremely responsive Virtual Assistant / Executive Assistant to support our CEO in a fast-paced, global environment. This role is ideal for someone who thrives in high-pressure situations, enjoys managing complex schedules, and can handle travel and meeting coordination with strong attention to detail.

This is a remote contractor/freelancer role requiring availability aligned with Eastern Time (ET) and/or UK Time Zone.


Key Responsibilities

-Calendar management: Manage and optimize the CEO’s calendar across multiple time zones (ET/UK), including prioritization, scheduling, rescheduling, and conflict resolution
-Coordinate internal and external meetings with executives, partners, and customers
-Organize and manage executive travel (flights, hotels, transfers, itineraries, last-minute changes)
-Handle inbox/email support, including professional drafting and follow-ups
-Support communication and coordination via Slack, WhatsApp, email, and calls
-Assist with expense tracking, receipts, and basic administrative support
-Handle urgent requests quickly and efficiently with strong attention to detail

Required Qualifications

-Proven experience supporting senior executives as a Virtual Assistant / Executive Assistant
-Strong experience with calendar management and scheduling across time zones
-Strong experience in executive travel coordination (international travel preferred)
-Excellent written and verbal communication skills in English
-Highly responsive, reliable, and able to manage urgent last-minute changes
-Strong organizational skills with close attention to detail
-Availability aligned with Eastern Time Zone (ET) and/or UK Time Zone
