Rincon Research Corporation (RRC), an employee owned company, is seeking a highly motivated and detail-oriented Payroll & Accounting Administrator to join our dynamic finance team. This role is ideal for a results-driven professional who thrives in a fast-paced environment and enjoys supporting both payroll operations and broader accounting functions. The position will spend the majority of its time supporting payroll activities, including timesheet compliance, payroll processing, payroll-related reconciliations, and administration of employee benefit and retirement plans.
In addition to payroll responsibilities, this role will assist with month-end close activities, including preparing journal entries, analyzing transactions, and performing account reconciliations. The position will also support contract billing and accounts receivable functions by preparing timely and accurate invoices and supporting documentation for government clients in compliance with contract requirements and FAR regulations.
What are the primary responsibilities in the Payroll and Accounting Administrator position?
- Support and process biweekly payroll for all employees, ensuring accuracy, timeliness, and compliance with company policies and applicable regulations.
- Monitor and enforce timesheet compliance and coordinate with managers and employees to resolve discrepancies.
- Administer and reconcile payroll-related benefits and retirement plans, including ESOP contributions, vesting, deductions, and reporting.
- Prepare payroll-related journal entries, reconciliations, and supporting schedules for month-end close activities.
- Assist with general ledger account reconciliations, including payroll clearing and benefit-related accounts.
- Prepare accurate customer invoices and supporting documentation in accordance with contract requirements, company practices, and government regulations.
- Participate in accounts receivable activities, including cash posting, collections, invoice tracking, and reconciliation efforts.
- Investigate and reconcile aged receivables, payroll discrepancies, and unidentified deductions in collaboration with Contracts and Program teams.
- Support compliance with internal controls, accounting policies, and government contracting requirements.
- Work closely with the Payroll Manager and Billing Team to ensure efficient coordination across finance functions.
- Respond to internal and external customer inquiries related to payroll, billing, and account activity.
- Maintain confidentiality and accuracy of employee payroll and financial information.
Secondary Duties:
- Support a variety of general accounting and administrative tasks as needed.
- Assist with audits, reporting requests, and special projects.
- Participate in process improvement initiatives related to payroll and accounting operations.
What minimum background will make you successful?
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred, but not required.
- Knowledge of payroll processes and basic accounting principles.
- Strong attention to detail with excellent organizational and problem-solving skills.
- Ability to handle confidential information with professionalism and discretion.
- Excellent verbal and written communication skills.
- Ability to work effectively in a collaborative team environment.

- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- US CITIZENSHIP REQUIRED
Preferred skills:
- Experience processing payroll in a multi-department or government contracting environment.
- Knowledge of government contracting regulations such as FAR, DFARS, and related compliance requirements.
- Experience with payroll systems, ERP/MRP platforms, and timekeeping software.
- Strong understanding of payroll accounting, account reconciliations, and month-end close procedures.
- Experience preparing journal entries and supporting financial audits.
- Familiarity with contract billing, indirect rates, and government contract types (CPFF, FFP, T&M, etc.).
- Experience working cross-functionally with HR, Contracts, and Program Management teams.
- 2+ years of related payroll and accounting experience.
Where is the position located?
This position is located at our Tucson, AZ Headquarters. This position is a full-time, onsite role requiring 40 hours per week.
*The likely hourly wage for this position is $31.25 to $36.05. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
