Job Description

Reception and Guest Services

  • Greet and welcome all visitors, clients, and vendors in a friendly and professional manner.
  • Direct visitors to the appropriate personnel or department.
  • Maintain a clean, organized, and presentable reception area at all times.
  • Manage building access by issuing visitor badges and following front desk security procedures.

Telephone and Communication Management

  • Answer, screen, and route incoming phone calls using a multi-line phone system.
  • Take accurate messages and deliver them promptly to the appropriate staff.
  • Provide basic information to callers and visitors in person, over the phone, or via email.

Mail, Deliveries, and Supplies

  • Receive, sort, and distribute incoming mail and packages.
  • Coordinate outgoing mail and courier pickups.
  • Monitor, track, and replenish office and printer supplies; place orders as needed to avoid disruptions in operations.
  • Maintain updated records of office supply inventory and related expenses.

Administrative Support

  • Perform general clerical duties, including filing, photocopying, scanning, and data entry.
  • Arrange travel and accommodations for staff as needed.
  • Assist with scheduling, document preparation, and office communications.
  • Support other departments and administrative staff with tasks as assigned.

Minimum Qualifications

Education and Experience

  • High school diploma or equivalent required.
  • Prior experience in a front desk, receptionist, or administrative support role preferred.

Skills and Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong verbal and written communication skills.
  • Excellent organizational and time management abilities.
  • Strong interpersonal and customer service skills with a professional demeanor.
  • Ability to handle confidential information with discretion and integrity.
  • Familiarity with basic office equipment (e.g., printers, copiers, phone systems).
  • Ability to multitask and remain calm and professional under pressure.

Additional Requirements

  • Must possess a valid Texas Driver’s License.
  • Must be able to sit or stand for prolonged periods and occasionally lift up to 15 pounds (e.g., office supplies or packages).
