Reception and Guest Services
- Greet and welcome all visitors, clients, and vendors in a friendly and professional manner.
- Direct visitors to the appropriate personnel or department.
- Maintain a clean, organized, and presentable reception area at all times.
- Manage building access by issuing visitor badges and following front desk security procedures.
Telephone and Communication Management
- Answer, screen, and route incoming phone calls using a multi-line phone system.
- Take accurate messages and deliver them promptly to the appropriate staff.
- Provide basic information to callers and visitors in person, over the phone, or via email.
Mail, Deliveries, and Supplies
- Receive, sort, and distribute incoming mail and packages.
- Coordinate outgoing mail and courier pickups.
- Monitor, track, and replenish office and printer supplies; place orders as needed to avoid disruptions in operations.
- Maintain updated records of office supply inventory and related expenses.
Administrative Support
- Perform general clerical duties, including filing, photocopying, scanning, and data entry.
- Arrange travel and accommodations for staff as needed.
- Assist with scheduling, document preparation, and office communications.
- Support other departments and administrative staff with tasks as assigned.
Minimum Qualifications
Education and Experience
- High school diploma or equivalent required.
- Prior experience in a front desk, receptionist, or administrative support role preferred.
Skills and Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Strong verbal and written communication skills.
- Excellent organizational and time management abilities.
- Strong interpersonal and customer service skills with a professional demeanor.
- Ability to handle confidential information with discretion and integrity.
- Familiarity with basic office equipment (e.g., printers, copiers, phone systems).
- Ability to multitask and remain calm and professional under pressure.
Additional Requirements
- Must possess a valid Texas Driver’s License.
- Must be able to sit or stand for prolonged periods and occasionally lift up to 15 pounds (e.g., office supplies or packages).
Working Conditions and Physical Requirements
- Standard office environment.
