The role:


We’re looking for an Administrative Assistant to support our Fortified Nutrition manufacturing facility in Morden, Manitoba.


This is a 14-month contract to cover an upcoming maternity leave. 


In this role, you’ll support the Plant Manager, Supply Chain Coordinator, and mill team with a wide range of administrative, clerical, and data-related tasks. You’ll play an important role in keeping daily operations organized, accurate, and running smoothly


What you’ll do:


Office Administration & Coordination

  • Act as the first point of contact for visitors, customers, and internal teams
  • Answer and direct phone calls, take messages, and respond to general inquiries
  • Prepare, proofread, and distribute correspondence, reports, and documents
  • Manage incoming/outgoing mail and support general office organization
  • Order and track office supplies and maintain inventory
  • Schedule appointments and support general administrative coordination


Data Entry & Operational Support

  • Process and validate documentation for receipts, assemblies, and transfers
  • Enter and maintain data in systems such as Sage 300 and D365
  • Generate reports to verify accuracy and support reconciliation
  • Assist with month-end counts and documentation
  • Support formula entry and updates in the system
  • Track document errors and support continuous improvement efforts


Customer & Order Support

  • Notify customers when orders are ready for pickup
  • Generate invoices and process payments (including credit card transactions via Clover)
  • Maintain digital and physical filing systems for completed order


FeedAssure & Safety Administration

  • Support FeedAssure and QA/QC programs alongside HACCP Coordinators
  • Assist with maintaining certification, audits, and documentation
  • Ensure required forms and records are complete and accurate
  • Support sample submissions and supplier approval processes
  • Maintain Safety Data Sheet (SDS) documentation


Additional Support

  • Assist nutritionists with vet script reporting
  • Support general office upkeep and team needs
  • Take on additional responsibilities as assigned


Your background includes:

  • Post-secondary diploma in Office Administration, Accounting, Supply Chain, or a related field
  • 1–3 years of experience in administration, accounting, customer service, or a similar role
  • Strong technical aptitude with experience using ERP systems and accounting software (D365 preferred; Sage is an asset)
  • Experience supporting inventory, warehouse, or order management processes is an asset
  • Background in agriculture, feed, or food production is considered an asset
  • Exposure to FeedAssure or HACCP programs is an asset
  • Proficiency in Microsoft Office, with strong Excel skills preferred
  • High attention to detail with the ability to manage and reconcile data across systems
  • Strong organizational, communication, and time management skills
  • Ability to work both independently and collaboratively in a fast-paced environment
