Scope of Position

The Receiving Clerk is responsible for the accurate receipt, inspection, documentation, and distribution of all inbound parcel and material shipments. This role ensures material traceability and supports project execution by maintaining clear and timely receiving records. The position also contributes to outbound shipping activities for trade show projects and provides cross-functional support as backup to the Warehouse Coordinator and Shipping Coordinator. Additionally, the Receiving Clerk performs local pick-ups and deliveries as assigned.

Primary Duties and Responsibilities

Inbound Receiving & Inspection

  • Receive and process inbound parcel and freight shipments (e.g., UPS, FedEx, LTL, courier deliveries) 
  • Inspect incoming materials for accuracy, completeness, and damage against shipping documentation 
  • Document discrepancies and damages; promptly communicate issues to appropriate project stakeholders 

Documentation & Material Traceability

  • Maintain accurate and timely receiving logs and shipment records 
  • Update and communicate receiving activity within Teamwork to support material tracking, traceability, and project planning 
  • Ensure all receiving documentation is complete, organized, and audit-ready 

Material Distribution & Staging

  • Stage and distribute received materials to appropriate departments, project teams, or designated staging locations 
  • Support efficient material flow to align with production schedules and project timelines 

Warehouse Organization & Inventory Support

  • Maintain receiving and material staging areas in a clean, organized, and safe condition 
  • Monitor and replenish shipping and receiving supplies to maintain minimum stock levels 
  • Assist with general warehouse organization and operational efficiency 

Outbound Shipping Support (Trade Shows & Projects)

  • Assist with loading outbound shipments, including trade show materials 
  • Verify items loaded against documentation and maintain accurate loading records 
  • Apply appropriate labels and ensure shipments are properly secured to prevent damage during transit 

Cross-Functional & Backup Support

  • Serve as backup to the Shipping Coordinator and Warehouse Coordinator as needed 
  • Support activities such as booking carriers, generating shipping labels, packing materials, and ensuring safe transport 
  • Assist with unloading return shipments and supporting warehouse operations during peak periods or absences 

Local Logistics Support

  • Perform local pick-ups and deliveries in support of project and operational needs 

Additional Responsibilities

  • Perform other related duties as assigned to support warehouse, production, and logistics operations 


Requirements

Qualifications

  • High school diploma or equivalent required 
  • Experience in receiving, warehouse, or logistics operations preferred 
  • Familiarity with shipment tracking systems or project management tools (e.g., Teamwork) 
  • Strong attention to detail and organizational skills 
  • Forklift driving requirement (ECI Certification)

 

Physical Demands:


While performing the duties of this job, the employee is regularly required to stand. The employee must be able to lift and/or move up to 75 pounds.
