    Job Description

    Purpose: The District Registrar provides high-level administrative and operational support to ensure a seamless experience for students, families, and staff. Working as a key partner to the Counseling Department and School Administration, this role facilitates the essential workflows that drive student success.

    Responsible to: Principals and Counselors.

    Compensation: Salary and benefits as established by the Board of Education.

    Length of Work Agreement: 200 days.

     

    Qualifications

    • High school diploma or equivalent required.
    • Minimum of two years of administrative or office coordination experience.
    • Strong command of the Microsoft Office Suite (Word, Excel) and Google Workspace. Ability to quickly adapt to Student Information Systems (SIS) and digital scheduling tools.
    • Professional-grade communication (written and verbal) and accurate data entry.
    • A commitment to ongoing professional development and refining office workflows.
    • Health and Inoculation Certificate on file (after offer of employment).

    Core Competencies & Essential Functions

    • Manage the daily rhythms of the counseling office, ensuring a welcoming environment and efficient administrative processes.
    • Act as a primary point of contact for students, parents, and community partners, providing clear information and exceptional service.
    • Maintain high productivity and a positive demeanor in a high-traffic environment with frequent interruptions and shifting priorities.
    • Actively contribute to the district's vision and educational goals through organized and intentional support.
    • Ensure all office activities and record-keeping adhere to district guidelines and state regulations.

    General Responsibilities

    • Maintain, gather, and organize sensitive student data into accessible, usable formats for counselors and administrators.
    • Uphold the highest standards of discretion regarding student records and private information (FERPA compliance).
    • Manage multi-line phone systems, digital correspondence, and visitor screening with professionalism and warmth.
    • Oversee a meticulous physical and digital filing system, ensuring documents are easily retrievable and up to date.
    • Direct the development and maintenance of the school master calendar and student-specific academic calendars, ensuring all key dates, testing windows, and school events are accurately tracked and communicated.
    • Strictly follow District safety protocols and health policies to ensure a secure environment for all.
    • Collaborate on special projects and tasks as assigned by the Principals or Counselors.
    • Collaborate with the secretary team to ensure seamless phone coverage.

    Physical Requirements & Work Environment

    • Prolonged sitting or standing and frequent use of computers and digital interfaces; must be able to manage repetitive motions and screen time effectively.
    • Ability to maintain a consistent presence across the district, serving the high school population for the majority of the schedule, supplemented by dedicated hours at Clearwater Intermediate-Middle School.
    • Ability to thrive in a vibrant, high-energy school setting that may occasionally be noisy or crowded.

    Term of Employment: At will. 

    Evaluation: Performance will be evaluated in accordance with Kansas Statutes and Board of Education Policy.
