Facilities Coordinator – Sydney CBD, NSW

Purpose of the Role

BGIS is seeking an experienced Facilities Coordinator to support the delivery of services across a high-profile, national retail portfolio. This is a fast-paced, high-volume environment where responsiveness, accuracy, and attention to detail are essential. 

Reporting to the National Operations Manager, you will work closely with the client, BGIS Operations Centre, and subcontractors to ensure service requests are managed efficiently, KPIs are met, and contractual obligations are delivered to a high standard.

This role suits someone who enjoys working in a structured, desk-based coordination role, can manage competing priorities, and remains calm and solutions-focused under pressure. Strong communication skills, particularly phone manner, are critical as you will regularly liaise with store teams and stakeholders.

Key Responsibilities

  • Coordinate day-to-day reactive and planned maintenance across a portfolio of retail sites
  • Monitor and manage CMMS work orders, shared inboxes, and approvals to ensure KPIs are met
  • Allocate and follow up work orders daily to ensure timely completion
  • Review, verify, and approve contractor payment claims in line with contract terms
  • Maintain accurate records within BGIS systems including QMS, OH&S, and EMS
  • Participate in risk reporting, hazard reporting, and corrective action follow-ups
  • Support client meetings, preparing agendas, minutes, and action registers
  • Build and maintain strong, professional relationships with client stakeholders and vendors

Education, Experience & Skills

Essential:

  • Minimum 3 years’ experience in Facilities Management or a related field (all levels encouraged to apply)
  • Experience working within integrated services (FM, projects, financial management)
  • Proven ability to manage high-volume administration with speed and accuracy
  • Strong time management and prioritisation skills
  • Experience using CMMS platforms
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Confident and professional phone communication skills
  • Ability to work under pressure while maintaining attention to detail

Desirable:

  • Experience coordinating services across multi-site retail portfolios
  • Industry-recognised qualification in Facilities, Building, or Project Management (TAFE, Tertiary, or Property Council)
  • Experience working within QA, OH&S, and Environmental systems

Workplace Flexibility

This position is based in our Sydney CBD office, supporting a dynamic national retail portfolio. After onboarding, you will work in a hybrid arrangement (3 days in office, 2 days from home).
