Job Duties Summary
This position plays a critical role in supporting the Purchasing & Contracting Department by coordinating procurement, contract administration, and warehouse-related functions to ensure uninterrupted hospital operations. Responsibilities include sourcing and evaluating vendors—actively supporting small, women-, minority-, and service-disabled veteran-owned businesses (SWaM)—and conducting market research to secure quality goods and services at competitive pricing. The role involves preparing detailed specifications, managing solicitations such as Quick Quotes, Invitations for Bids, and Requests for Proposals, and performing bid evaluations in accordance with state procurement regulations. The employee is responsible for processing purchase orders, requisitions, and receiving reports within eVA and FMSPO systems with a high degree of accuracy, ensuring compliance with policies, proper documentation, and timely order fulfillment.
In addition, the position supports contract administration by reviewing state contracts, maintaining audit-ready files, and assisting in resolving vendor or end-user issues. Administrative and operational duties include training staff on procurement procedures and systems, assisting with inventory control and stock management, supporting warehouse operations when needed, and maintaining logs and documentation related to shipments and purchasing activity. The role also contributes to departmental leadership functions when required, helps ensure adherence to agency policies and performance standards, and participates in continuous performance improvement initiatives while maintaining a strong focus on customer service and operational efficiency.
Minimum Qualifications
Ability to write brief correspondence and technical specifications which reflect knowledge of spelling; grammar and composition, communication skills, manage multiple tasks.
Additional Considerations
Proficient in use of computer applications (word processing, FMSPO & eVA databases, etc.) and other office equipment.
