Overview

Position: Administrative Assistant – Finance & Admin
Experience: 3 to 5 years
Type: Full Time Employee (FTE)

 

Under the direction of Manager, the Administrative Assistant works on India Admin in a timely fashion, with the expected quality in accordance with organization policies and procedures. Administrative Assistant works closely with the team to deliver the collective output to the firm on a timely basis. Responsible for managing the administrative activities, logistics and facilities at BLR office.

 

Core Responsibilities
Daily cleaning and upkeeping of facilities.
Weekend deep cleaning.
Regular maintenance of plumbing and electrical at office premises.
Daily Food and Beverage arrangements.
Maintain hygiene in cafeteria - 4th Floor and 8th Floor Cafeteria.
Preparation of Monthly Calendar/Roster for House Keeping Staff/Security Staff.
Daily monitoring and coordination with House Keeping Staff and Security Staff
Handling all documentation relating to material movements and courier services.
Front office management such as handling visitors, new joiners and other guests.
Review and procure groceries/housekeeping materials/stationaries for daily operations.
Obtaining invoices from admin vendors for payment purposes.
Maintenance of Admin Inventory on a weekly basis and report to admin Manager.
Maintenance of Cubicle and Office Keys
Periodic Maintenance of facility and office equipment such as:
UPS, Air Conditioners
Electrical Inspections
Carpet shampooing, Chairs and Workstation
Fumigation
Laptop stickers management etc.,
Transport coordination (Monitor the daily route vehicles and arranging the cab as and when required with prior approval from the Manager).
Busy season weekend and late-night supports
Training, Outing and Team Event supports
Logistic support for US visitors.
Support for Workday Entries (Invoice upload etc.) as required
Logistics support for sports & cultural committee events
Other logistics and admin support for smooth function of the production area.

 

Additional Responsibilities
Collaborate with other teams to address their needs in timely manner
Learn Wipfli Way to enhance team collaboration and collectively work towards common objectives.
Work with the performance coach to develop the skills required to go up in the value chain
Participate in operational support activities related to the practice/team

 

Skills & Qualification
B.com/BBA/M. Com
Hand-on experience on applications.
Good Administrative knowledge.
Good Communication Skills
Good at Excel, PPT and Word
Good knowledge of data analytics tools. (Preferred, not mandatory)
