Job Summary
 
Strategic Management Solutions LLC (SMSI) is seeking an entry-level Administrative Assistant to support daily operations and deliver excellent service to employees and leadership. The ideal candidate is proactive, detail‑oriented, and a strong communicator. This role requires flexibility, quick learning, confidentiality, and the ability to troubleshoot issues, solve problems efficiently, and escalate when necessary.

Duties/Responsibilities
  • Maintain coverage of the reception and front desk area
  • Coordinate with Information Technology (IT) to ensure adequate services and equipment are available for staff
  • Serve as the point-of-contact for all office matters
  • Order and maintain supplies and office furniture inventory
  • Draft and edit executive-level correspondence
  • Create documents, reports, letters, and presentations
  • Provide administrative support for projects and staff meetings
  • Research governmental policies and procedures as assigned
  • Assist with processing and submitting employee travel pre‑approvals, provide guidance to employees, and ensure timely, accurate submissions to SMSI clients
  • Support the SMSI leadership team with administrative tasks in support of ongoing business operations (time and expense management, communications, purchasing, contract management, etc.)
  • Support and assist the SMSI leadership team in preparing, updating, and delivering policies, procedures, plans, reference guides, and training requirements
Required Skills/Abilities
  • 3 to 5 years of administrative experience in a professional office environment
  • Excellent communication skills, both oral and written
  • Experience scheduling meetings and maintaining calendars for conference rooms and the leadership team
  • Advanced proficiency in Microsoft Office applications, including Teams, Word, Excel, PowerPoint, and Outlook
  • Excellent organizational skills and attention to detail with the ability to prepare, proofread, edit, and format complex reports, presentations, and other documents using the Microsoft Office suite
  • Able to multitask, work independently, and prioritize tasks efficiently
  • Resourceful with strong problem‑solving skills in daily administrative support
  • Handles customer and visitors’ interactions accurately, professionally, and promptly
  • Positive and proactive collaboration and interaction with peers and team members
  • Maintain strict confidentiality
  • Other duties performed as assigned
Education/Citizenship
  • High School Diploma or equivalent
  • Must be a U.S. Citizen

  • Works in the Oak Ridge, TN office 5 days a week
  • Weekly schedule of 30 hours per week with additional hours as needed
