General Function:
The Administrative Assistant supports daily operations while helping advance the mission of Volunteers of America Western Washington (VOAWW) and the Lynnwood Neighborhood Center by creating a welcoming and positive experience for all visitors. As a key frontline representative, this role fosters an inclusive, community-centered environment that promotes connection, dignity, and access to resources, especially for historically underserved populations in South Snohomish and North King Counties. The ideal candidate is passionate about community service, committed to equity, and dedicated to supporting an efficient, responsive, and people-focused workplace.
Principal Activities:
- Greet persons entering the Center, assess immediate needs and direct to proper program for more information.
- Answer, screen and direct incoming phone calls, Info, emails and forward messages, and provide information to callers.
- Place office supplies orders for Site Director and LNC site.
- Provides administrative and program support on special projects for multiple programs.
- Monitor visitor access and maintain security awareness.
- Process daily incoming/outgoing mail and deliver to post office as needed.
- Manage and process all incoming and outgoing deliveries.
- Organize and track room reservations.
- Ship out FedEx, UPS and other packages.
- Provide general administrative and clerical support.
- Control inventory relevant to Administration.
- Other duties as assigned.

Physical Demands:
- Regularly required to sit, stand, walk, speak, hear, and use hands to operate standard office equipment including computers, phones, and printers
- Frequent use of a computer keyboard, monitor, and phone for extended periods
- Ability to communicate effectively with staff, volunteers, community members, and rental clients
- May occasionally be required to reach overhead, bend, or perform repetitive movements
- May occasionally be required to lift or move items up to 30 pounds
Working Conditions:
- Work is performed in a professional office and community center environment with frequent interaction with the public
- Position requires the ability to manage multiple priorities and maintain professionalism in a dynamic, community-focused setting
- May involve supporting events in the evenings or on weekends, including room setup, coordination, and customer service support
Work Schedule:
- 30+ hours per week
- Regular Schedule: Monday–Friday, 12:00 PM – 6:00 PM
- Every Other Saturday: 10:00 AM – 4:00 PM
- Friday off during weeks when Saturday hours are worked
- Opportunity to work up to 10 additional hours per week, including evenings and weekends, based on operational needs
- Schedule flexibility is required. Schedule will require working evenings and weekends.
