Job Description:
The Office Administrator is responsible to manage employees, clients, or guests complete travel arrangements and provide the timely support for the office admin activities. The ideal candidate should possess strong coordination skills, attention to detail, and the ability to manage multiple responsibilities efficiently while ensuring compliance with company policies.
Duties and Responsibilities:
Travel Desk:
- Manage all aspects of travel (domestic/international) for employees, clients, or guests including flights, hotel accommodation, and local transportation (If needed),
- Handle end-to-end visa processing with complete documentation compliance and travel insurance.
- Liaise with travel agencies and service providers to ensure competitive rates and best services.
- Manage travel requests and provide timely assistance, handle last-minute changes or emergencies, and manage visa formalities.
- Resolve issues like missed flights, Visa delays & hotel accommodation problems if needed.
- Process bills related to the travel & Visa and ensure timely payments in coordination with finance.
- Prepare travel reports and analyze data to identify cost-saving opportunities by following company policies and budget guidelines.
Administrative Task:
- Provide timely, efficient executive support to the senior management team
- Assisting with training and development initiatives, such as coordinating training programs, tracking employee participation, and maintaining training records.
- Maintaining Stationary materials stock of all the required supplies
- Arranging for joining kit for new joinees
- Co-ordinating for Insurance documentation & submission of claim by staff
- Provide support for arranging events & birthday celebrations
Reception Duties:
- Inducting visitors, ensuring their sign in/out
- Organizing courier services and distributing deliveries
- Supervising housekeeping staff
- Adhere to all Jord company policies and IMS requirements
Skills and Experience:
- Education: Bachelor’s degree in HR, hospitality, Travel Management, or a related field is often preferred.
- Minimum 2 years of proven experience as admin or similar role.
- Proficiency in booking tools, and MS Office (especially Excel).
- Strong organizational, communication, negotiation, and interpersonal skills.
- Detail-oriented, ability to work under pressure, and a strong customer-service mindset.
