Summary:

As an integral contributor to the Office of Admission, the Admission Recruitment Administrative Coordinator provides high level logistical support for projects, events and initiatives such as admission recruitment travel, off-campus programming, alumni and counselor engagement programs, and assists with general administrative needs as part of highly collaborative and progressive admission team. 

JOB DUTIES/RESPONSIBILITIES:

Provide administrative support for recruitment travel and off-campus programming

  • Manage office-wide registration for off-campus recruitment events, assist with Slate CRM activity related to college fairs, and complete recruitment event administrative tasks.

  • Assist with office-wide training in preparation for recruitment and travel

  • Communicate with admission officers to ensure timely and thorough review and timely responses to all recruitment invitations for planning and registration purposes.

  • Provide logistical support with planning and preparation for off-campus recruitment.

  • Manage admission material requests related to off-campus events and recruitment travel, delegate as appropriate to student workers and admission staff.

Provide administrative support and planning for programs aligned with Event and recruitment initiatives

  • Manage the processing of transportation grants offered to admitted students.

  • Provide virtual event support, including building events in CRM, building webinar within Zoom platform; manage Zoom Webinar permissions.

  • Provide administrative support for on campus events for current students participating in various admission partnerships, including Davis UWC, QuestBridge, and other CBOs with whom we work closely.

  • Provide logistical and administrative support for prospective and admitted overnight student programming and events.

  • Provide administrative support for off campus yield programs.

  •  Facilitate budget-related requests and reconciliations.

Provide administrative coordination for Alumni Recruitment Committee activities

  • Support ARC activity including inbox, portals and database for volunteers in CRM.

  • Execute ARC communication plan in coordination with program manager and manage oversight of ARC inbox.

  • Coordinate ARC coverage of college fairs, on- and off-campus events, including pre- and post-event communications.

  • Manage alumni interview request and matching process.

  • Collaborate with ARC program manager to implement alumni volunteer training resources and outreach both in-person and virtually.

Provide general administrative office support

  • Participate in on-campus events throughout the year.

  • Verify/allocate expenses; reconcile expense reports and credit card statements.

  • Assist with phone, email inboxes, and office coverage as needed.

  • Other duties as assigned to support the Office of Admission and the University mission and goals.

WORKING CONDITIONS/PHYSICAL EFFORT:

Majority of work is completed at a two-monitor workstation and requires ability to work from computer full-time. Some lifting of boxes up to 40 pounds. Occasional need for standing long periods of time during events.

QUALIFICATIONS:

  • Knowledge, skills & ability:

  • Ability to clearly and compellingly articulate the strengths of a liberal arts education and residential university experience, particularly to those who are not familiar with this model. 

  • An understanding of and appreciation for the selective, private college admission process

  • Demonstrated commitment to supporting access to selective university admission for historically underserved student populations.

  • Experience in supporting inclusion and a sense of belonging within a diverse community of students, faculty and staff.

  • Excellent interpersonal and communication skills

  • Attention to detail, thorough, and consistent with follow through.

  • Ability to prioritize and manage multiple tasks concurrently coupled with excellent organizational skills with highest standards for accuracy

  • Ability to work collaboratively with a team of professionals.

  • Ability to manage budgets.

  • Independent worker capable of performing job duties with a considerable degree of autonomy.

  • The ability to handle confidential information is required

  • Demonstrated ability with Microsoft products, including MS Outlook, Word, Excel and PowerPoint required

Education and Experience:

• Bachelor’s degree required

• Minimum of 2 to 4 years of administrative support experience preferred

Work Schedule:

  • Full-time; non-exempt

  • Monday-Friday 8:30am-5:00pm

  • Occasional early morning/evening/weekend work is required.

Pay Structure:

Pay Grade 4 ($18.34 to $24.30 per hour)
