Job Description

Power Your Future with Qualus in our T&D Canada business as a Senior Project Administrator. Reporting into the Project Controls Manager, this position wil be based in our Vancouver BC office on a hybrid schedule. This role provides high-level administrative and project coordination support to transmission and distribution projects for multiple clients. The successful candidate is highly organized, proactive, and experienced in supporting complex engineering and construction projects in a fast-paced environment.

  • Provide comprehensive administrative support across multiple concurrent projects, from project setup through close-out
  • Maintain and update project documentation, including reports, logs, registers, and templates, ensuring accuracy and version control
  • Coordinate meetings, prepare agendas, record and distribute meeting minutes, and track action items
  • Serve as the primary point of contact for issuing and distributing project documentation to clients
  • Manage client and internal project sites, including auditing folder structures and enforcing file naming conventions
  • Run project reports, distribute them to stakeholders, and file in accordance with project controls and document management standards
  • Assist with the development and maintenance of project planning documentation, including Statements of Objectives, Business Cases, User Requirements, Work Package Agreements, and safety and construction documentation
  • Assist with the preparation of Journey Management Plans (JMPs)
  • Arrange project-related travel and support approvals, forms, and required documentation
  • Provide general engineering and design administrative support, including ensuring the use of current templates and standards, formatting technical and engineering documents and supporting document review, approval workflows, and final issuance
  • Support contract and procurement activities, including formatting RFQs/RFPs, managing contract documentation, and coordinating submissions and transmittals
  • File and issue daily, weekly, and monthly construction reports
  • Log and assist with the preparation and tracking of Requests for Information (RFIs) and Field Advice Memos (FAMs)
  • Provide additional construction administration support as required
  • 5–7+ years of experience in a project administration or project coordination role, preferably within an engineering, utilities, construction, or infrastructure environment
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and Adobe Acrobat
  • Exceptional written and verbal communication skills, with strong attention to detail and proofreading capability
  • Strong organizational and time-management skills with the ability to manage competing priorities and tight deadlines
  • Proven ability to work independently, take initiative, and proactively identify and resolve issues
  • Demonstrated ability to handle confidential information with professionalism and discretion
  • Strong interpersonal skills with the ability to build effective working relationships with internal teams, leadership, clients, and external partners
  • Adaptable, solution-oriented mindset with a focus on continuous improvement and client service
  • Ability to diplomatically manage deadlines, expectations, and deliverables in a fast-paced environment
