POSITION TITLE: Care Access Supervisor
REPORTS TO (TITLE): Director of Operations
Job Summary: The Same Day Clinic Supervisor oversees same day clinic operations and supervises support staff to ensure timely patient access, efficient workflows, and high-quality care delivery. The role requires strong operational leadership, effective communication, data-informed decision-making, and adherence to regulatory and organizational standards.
Salary Range: $70,304-86,900 DOE
Core Competencies and Performance Expectations:
Clinical Operations and Patient Access Management
- Oversee daily same day clinic operations to ensure timely access to care. Including but not limited to proactive planning, real-time management, and continuous monitoring to ensure patients are seen efficiently and safely.
- Monitors clinician schedules to identify and address no-shows and cancellations. Working closely with the care team to backfill open slots with same-day visit requests and ensures optimal schedule utilization while preserving high-quality care and operational efficiency.
- Appropriately distinguishes visit types to optimize patient flow. Proper distinction improves patient flow, reduces wait times, prevents bottlenecks, and supports balanced clinician workloads.
- Collaborates with Clinic Supervisors and MA Team Leads to accommodate same- day patient visit requests.
Workflow Optimization & Continuous Improvement
- Evaluates and improves all clinic workflows for efficiency and quality. This includes routine primary care, extended hours, specialty services, and cross-functional processes.
- Identifies operational barriers and applies problem-solving strategies.
- Participates in quality improvement initiatives and projects to improve operational systems.
Communication & Coordination
- Serves as liaison with the centralized call center regarding patient access.
- Communicates operational updates to management and lead clinicians.
- Maintains effective communication with clinic staff and patients throughout shifts.
Staff Supervision, Training & Workforce Management
- Supervises support staff in compliance with Collective Bargaining Agreements.
- Ensures appropriate daily staffing coverage.
- Trains new staff and provides ongoing coaching and development.
- Provides cross-coverage support as needed.
- Submits accurate and timely payroll and timekeeping.
Data Analysis & Reporting
- Prepares and reviews daily and weekly utilization reports to ensure that access metrics are met.
- Uses data to identify trends and inform operational improvements
- Shares key performance indicators with site clinical operational leaders and COO as requested.
Compliance, Confidentiality & Professional Standards
- Ensures compliance with clinic policies and regulatory requirements.
- Maintains patient confidentiality in accordance with HIPAA.
- Reports incidents inconsistent with clinic procedures.
- Demonstrates professional judgment and ethical conduct.
Administrative & Program Coordination
- Demonstrates proficiency with EHR systems and Microsoft Office tools.
- Performs other duties as assigned.
