Position Summary
The Payroll & Administrative Assistant serves as the primary point of contact for our office while providing essential support to internal teams. This role is responsible for ensuring a professional visitor experience, managing office logistics, and executing the accurate preparation and distribution of critical payroll deliverables, including year-end tax documentation.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
Manage multi-line telecommunications, directing inquiries with precision to enhance organizational efficiency.
Serve as the primary point of contact for all visitors, providing high-level administrative support and ensuring a professional experience.
Oversee facility opening and closing protocols, ensuring a secure and operational environment for daily business activities
Assembling, packaging, and preparing printed payrolls for delivery
Maintain data integrity across various spreadsheets and databases through meticulous entry and regular audits.
Optimize outbound logistics, including postage management, shipping label generation, and the coordination of courier and delivery services
Execute the distribution of year-end tax documentation, including W-2 and 1095-C forms
Facilitate the delivery of critical compliance communications, including the recording and distribution of COBRA notifications
Manage tax-related correspondence, overseeing the sorting and secure mailing of returns and payments to various jurisdictions
Administer digital data archiving, including the creation and distribution of year-end client data backups.
Collaborate with internal payroll teams to facilitate seamless payroll processing
Provide comprehensive cross-departmental support, assisting staff with specialized projects and general administrative needs
Maintain and troubleshoot office infrastructure, including high-volume printers and automated sealing equipment, to minimize operational downtime
Direct office procurement and inventory management, ensuring the continuous availability of essential supplies while monitoring costs.
Performing other administrative and payroll related duties as assigned
Minimum Qualifications (Knowledge, Skills, and Abilities)
High school diploma or general education degree (GED)
- 1 year experience in an administrative role
Proficient in word processing and spreadsheet software
Computer proficiency
Detail-oriented
Excellent organizational skills
Excellent oral and written communication skills
Excellent customer relationship skills
