Job Description

Toyota of Kirkland, part of the O’Brien Auto Group, is looking to add an Entry Level Dispatcher to the team. If you have strong automotive knowledge or experience, good communication skills, and thrive in a fast-paced environment, then we want to talk to you! Apply TODAY!



 



As the Entry Level Dispatcher, you are responsible for planning, organizing, and controlling the flow of service work through the shop. This position pays $24.00 per hour plus monthly bonus.

Position Summary:

The Entry Level Dispatch is responsible for overseeing daily operations within the express maintenance service area, ensuring efficient workflow, high-quality service, and exceptional customer satisfaction. This role combines hands-on technical expertise with team leadership, guiding technicians while maintaining productivity and safety standards.



 



Key Responsibilities:




  • Lead and supervise express maintenance technicians, ensuring tasks are completed accurately and efficiently

  • Perform routine vehicle maintenance services such as oil changes, tire rotations, filter replacements, and multi-point inspections

  • Monitor workflow to optimize service speed and minimize customer wait times

  • Ensure adherence to company standards, safety protocols, and manufacturer guidelines

  • Assist in training, mentoring, and evaluating team members

  • Maintain a clean, organized, and safe work environment

  • Communicate effectively with service advisors and customers regarding maintenance recommendations and timelines

  • Inspect completed work to ensure quality and accuracy

  • Manage inventory levels for maintenance supplies and notify management of shortages

  • Support problem-solving for complex or escalated maintenance issues

  • Assist production supervisor and dispatch in day-to-day operation of the shop

  • Work closely with the service advisors and technicians to ensure accurate and timely customer communication

  • Dispatch and assign repair orders to technicians according to skill level

  • Manage time effectively between service advisors and service techs

  • Follow all cars through express maintenance to make sure they are being worked on to meet customer needs while meeting promised times.

  • Provide training to express maintenance staff. Training involves basic job responsibilities including video multi point inspections.

  • Provide updates to advisors and service manager on how express maintenance is flowing and current wait times

  • Immediately report to the production supervisor any and all accidents with regard to employees and/or cars.

  • Notify the production supervisor immediately of any employee problems, such as but not limited to, refusal to work on cars, absenteeism, anger and harassment of any kind.

  • Get the production supervisor involved if the average express maintenance wait time exceeds 90 minutes.

  • Regular attendance is essential.

  • Work in cooperative, positive & professional manner with all personnel in the company.



 



Qualifications:




  • Technical certification preferred

  • Automotive maintenance experience, with leadership or supervisory experience strongly preferred

  • Strong knowledge of basic automotive systems and maintenance procedures

  • Ability to work in a fast-paced environment while maintaining attention to detail

  • Excellent communication and leadership skills

Equipment/Machines/Tools Typically Used: Phone, computer, adding machine, copier, calculator, stapler, fax machine, pencils/pens, letter opener, scissors, rulers, measuring tools, and hand tools.



Chemicals: Numerous chemicals are used/handled on a limited basis. Employees will be trained by their supervisor on the safe handling/use of these substances. Employee will follow all safety directives at all times.



Physical Demands: Intermittent standing, walking, sitting, stooping, kneeling, and crouching; lifting of 20lbs or less on a frequent basis and carrying of 10lbs or less on a frequent basis; frequent pushing and pulling, twisting, and turning of trunk, reaching and handling of objects; occasional climbing, balancing and crawling.



 



Candidates for this position must possess a valid Driver’s License and maintain an acceptable driving record in accordance with company policy. Employment offers are contingent upon successful completion of a comprehensive background screening and motor vehicle record review.
