Job Title:  Administrative Assistant to Principal

Reports to:   Principal

Location:  St. Elizabeth Seton Catholic School | Naples, FL

Classification: Hourly/Nonexempt

                       

Overview

St. Elizabeth Seton School is seeking a full-time Administrative Assistant to the Principal.Under the supervision of the Principal, provides support to the principal in a wide range of office and school operations; coordinates and organizes office activities and coordinates flow of communications and information for the Principal; provides support by planning, organizing, and participating in the school office administrative operation.

 

Job Responsibilities

  • Provide a variety of general administrative and clerical support to the Principal. 
  • Attends and participates in assigned meetings and training; prepares minutes from notes as required.  
  • Receives and greets visitors and provides information to parents and the public, screens correspondence and telephone calls for the administrator and staff.  
  • Answers, screens and handles incoming telephone calls in a professional and courteous manner.
  • Fosters communication and works collaboratively with office staff and faculty.
  • Updates and maintains multiple calendars as assigned; organizes appointments and meetings and make arrangements for school visits and facility use.  
  • Operates a variety of office equipment including a copier, fax machine, two-way radio, computer and assigned software.
  • Supports the operation of school front office including tidiness, organization and overall functionality.
  • Tracks and maintains assigned school supplies according to established procedures and assures appropriate levels of supplies are maintained.
  • Responsible for printing and maintaining current class rosters for faculty as needed.
  • Prepares mailings when applicable.
  • Responsible for student file maintenance including: scanning, filing, sending out to and receiving from other schools.
  • Assists principal with the compilation of reports. 
  • Assists with the scheduling of substitute teachers to fill in for absent teachers. 
  • Assists with registration duties as needed.
  • Other duties as assigned by principal.
