Key Responsibilities
As an Office Specialist, you will:
Provide administrative and technical support to professional and supervisory staff within Child and Family Services, ensuring compliance with agency policies.
Prepare, maintain, and track case files, reports, and correspondence related to family service programs and client activities.
Assist with scheduling, documentation, and coordination of case meetings, court hearings, and service referrals.
Input and verify data in agency systems to ensure accuracy of child welfare and family support records.
Respond to inquiries from families, partner agencies, and the public, offering information or directing them to the right resources.
Review and process documentation for completeness and compliance with established guidelines.
Support daily program operations by monitoring deadlines, tracking reports, and preparing summaries as needed.
Collaborate with other teams and community partners to ensure smooth and efficient workflow.
Greet and assist clients and partners at the front desk.
Answer and direct calls using a multi-line phone system.
Hold a valid driver’s license and be willing to transport state wards when necessary.
Requirements/Qualifications
Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
Other: Valid Drivers license.
