Essential Functions: 

  • Provides coaching with clear responsibility for the coordination of resources to effectively support the day-to-day operations of each office, ensuring a smooth and positive flow of patients through assigned offices. 
  • Oversight of key performance indicators for assigned offices. Specifics include schedule management, financial coordination needs, treatment acceptance, and patient follow up.
  • Assesses staffing needs and leads interview and hiring process. Is involved in new employee onboarding process and tailors new employee experience to fit the need of the individual and the position.
  • Collaborates with Dentists, Human Resources Generalist, and fellow leaders on performance improvement discussions and provides regular reviews to each staff member. 
  • Maintains familiarity with the administrative manual, scheduling software, and all functions related to the administrative position. 
  • Ultimately responsible for daily deposit/deposit edge/excel spreadsheet for accounts receivable of assigned offices. 
  • Oversees staff activities to provide a positive and consistent patient experience.
  •  Approves appropriate staff time cards and PTO requests. 
  • Addresses or directs patient concerns/complaints and issues to the appropriate department. 
  • Where applicable, partners with Orthodontia Operations Officer on any patient crossovers, referrals, or staffing needs.

Requirements

Experience and Qualifications 

  • High school diploma required, college degree preferred. 
  • Previous dental office management experience preferred. 
  • Proficient computer and data entry skills. 
  • Strong customer service skills and commitment to patient/parent satisfaction. 
  • Excellent oral and written communication skills.

Summary

Position Summary 

Responsible for administering the day-to-day activities of multiple office locations. Key tasks include: patient and employee relations; ensuring regulatory compliance; staffing par levels, training and communication. Responsible for ensuring delivery of outstanding patient/family experiences, positive staff member engagement, efficient office operations, and financial and operational success of assigned offices.
