Position Summary:
The Route Manager is responsible for dispatching and supporting the management of maintenance and repairs of the Philabundance fleet which includes both commercial trucks and non-commercial vehicles.
Responsibilities include ensuring vehicle inspections (pre-and-post trip) are conducted daily in accordance with FMCSA regulations by Philabundance driving team. The Route Manager owns the overall vehicle inspection function of CDL fleet vehicles.
The Route Manager is responsible for providing input to improve metrics and requirements that will support the overall Transportation goals. On time delivery, budgetary requirements, streamlining processes and adjustments to ensure efficiency will be monitored and ensured by the Manager of Transportation Operations. There will be a direct collaboration with the Logistics Analysis role.

Primary Responsibilities:
- Plans, directs, and coordinates all delivery and backhaul activities with food flow departments, events, agencies and PCK. Manages outbound, inbound, support to PCK Catering, Meal Programs and Philabundance special events.
- Directly responsible for the condition, compliance, and scheduling of the Philabundance fleet to ensure availability and safety of the fleet.
- Provide positive customer service, with a high level of urgency, to Philabundance contacts; communicate with customers/volunteers, drivers, internal and external contacts, in a courteous manner.
- Coordinates resources with delivery routes and needs to ensure on time delivery, successful turnaround and meets customer, internal and external, needs for food distribution.
- Perform administrative duties to maintain accurate records, spreadsheets, and databases.
- Proactively approaches customer needs, pick up and drop off requirements.
- Prioritize requests as well as gathering information quickly with ability to organize and communicate request for drivers and other departments.
- Daily, weekly and special events, Tracks delivery and pick up activity, details, status, resolution of issues, communication to others and maintains accurate records at all times.
- Monitors success of distribution or pick up.
- Applies safety and legal requirements to all activities.
- Ensure vehicles are scheduled for maintenance, repairs, and cleaning as necessary; manage administration related to fleet operations.
- Owns the scheduling and physical maintenance of repairs for fleet, commercial and non-commercial.
- Reviews, assesses, and enforces accurate timely reporting of fleet activity.
- Ensures vehicles are current with Routing Guides as well as high functioning.
- Responsible for driver education and training on Electronic Schedules. Maintain and update must be current.
- Ensures the health and efficiency of transportation team which includes but not limited ownership of alignment with Department of Transportation (DOT) requirements, clean work environment, safety standards, responsible food handling standards, and collaboration with internal and external customers.
- Key point of contact for driver concerns, complaints and need requests, must see to completion with appropriate approvals and actions.
- Provides solutions to problem areas, drives improvements and the resolution of roadblocks for the fleet and effectively on time delivery of the fleet, vehicle efficiencies. Provides best practices and suggestions for user habits to the Manager.
- Provides timely, accurate reporting on toll invoices and EZ Pass discrepancies, and accurate reporting on all driver violations. Highlight trends, concerns, changes, and impact proactively.
- Direct responsibility for quality, completion, and accuracy of driver documentation and administrative responsibilities.
- Manages the reporting of the leasing companies, to include but no limited to, mileage reporting, fuel receipts, invoice audits, IFT(DTR’s) through physical and electronic files. Responsible for identifying trends and discrepancies to ensure alignment, accuracy and best practices.
- Responsible for supporting and aligning with Philabundance Cultural pillars. Ensure communications, actions and interactions reflect a focus on People, Professionalism, Partnerships, and Progress.
Additional Duties:
- Supports internal audits with accurate and timely documentation related to fleet.
- Provides support with expansion and changes of the Transportation fleet processes regarding output, sustainability, selection of automation and process improvements.
