Who We Want

Deliver client service and support that consistently exceeds expectations. Partner with advisors as the primary operational and relationship resource to ensure seamless client experiences. Execute actions to establish new accounts or maintain existing accounts accurately and on time. Coordinate projects, training, and development of improved office procedures. Manage multiple projects professionally, oversee objectives, and ensure quality control. Provide leadership to support the success of the team, offering oversight and training to strengthen adherence to policies and enhance team performance.

 

What To Expect

  • Client & Advisor Support: Provide white-glove service to advisors and clients through proactive communication. Serve as the primary contact with custodians and ensure compliance with periodic client review requirements.
  • Account Administration: Process new accounts, cashiering, transfers, and maintenance requests with accuracy and timeliness. Take ownership of asset transfers to ensure seamless and timely completion. Execute money movements per advisor or client requests while maintaining documentation and compliance standards.
  • Data & Records Management: Maintain accurate and complete client information in databases and systems. Remain up to date on new operational updates and train stakeholders when needed. Provide oversight to mentees to ensure adherence to policies regarding logs and records.
  • Project & Process Management: Define expectations, timelines, and deliverables for projects. Communicate project expectations clearly to team members and management. Assist with developing processes and procedures that enhance accuracy and streamline workflows. Set and continually meet project expectations by delegating tasks appropriately and ensuring follow-through.
  • Training & Mentorship: Lead regular skill and competency training sessions. Support mentees as a subject matter expert in multiple operational areas. Provide leadership and guidance to enhance professional growth across the team.
  • Problem-Solving & Continuous Improvement: Research and resolve operational challenges using available tools. Source accurate answers, identify opportunities for improvement, and implement solutions to drive efficiency.
  • Other Duties: Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives.

 

What You Need

  • Bachelor’s degree in Business Administration, Accounting, Finance, or related field preferred.
  • Minimum of seven years of experience in financial services or banking preferred.
  • Knowledge of financial advisor office tools such as Orion, Goldmine, Redtail, or Salesforce preferred.
  • Proficiency in Microsoft Office, including Word, Access, Excel, and Outlook required.
  • Strong research and problem-solving skills required.
  • Exceptional attention to detail required.
  • Curiosity and natural desire to learn preferred.
  • Ability to compile statistics and reports accurately required.
  • Excellent planning, organizational, project management, and time management skills required.
  • Ability to manage multiple projects with precision required.
  • Strong written and verbal communication skills required.
  • Desire for continual personal and professional growth preferred.

The total rewards expected for this role include:

  • Starting annual base salary between $75,000 - 90,000.
  • Variable compensation potential (Bonus and/or commissions)
