This Executive Assistant will work as part of our c-suite administrative team and will directly support our Chief Information Officer. This high-visibility, fast-paced role requires sound judgment, discretion, and communication skills. We are seeking a proactive professional with demonstrated experience working with a leadership team and who has the ability to interact with internal and external clients and colleagues at all levels.
This is an on-site position, Monday through Friday, and will ensure continuity, efficiency, and high-level support.
Key Accountabilities
- Effective Calendar Management
Proactively manage complex, high-volume calendars for two senior executives
Schedule meetings, anticipate conflicts, and ensure alignment with business priorities
- Administrative Support
Organize, prepare, and distribute agendas and materials for meetings
Attend meetings as needed to take notes, track follow-ups, and ensure timely completion of action items
Serve as a key point of contact for internal teams and external partners visiting the Minnetonka office
Ensure the executives’ workspaces and meeting logistics run smoothly
- Coordination of Activities and Data Management
Interface effectively with other executive assistants and department leaders across the company to align calendars, coordinate joint efforts, and support enterprise initiatives
Assist with project coordination and tracking for strategic initiatives led by the executives, as needed
- Communication
Draft, review, and manage professional communications on behalf of senior executives, including emails, memos, and presentations
Handle sensitive information and matters with a high degree of confidentiality and professionalism
- Invoice and Expense Report Processing
Coordinate domestic travel arrangements, itineraries, and accommodations
Process related expenses in a timely and accurate manner
Required Qualifications
- Bachelor's degree or equivalent experience
- 4+ years of experience supporting senior-level executives in a fast-paced, corporate environment
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, SharePoint, Zoom)
- Demonstrated experience in leveraging AI productivity tools (e.g., ChatGPT, Microsoft Copilot, or similar) to enhance efficiency, quality, and speed of work
Skills and Abilities
- Exceptional organizational skills and attention to detail
- Proven ability to manage multiple priorities while maintaining flexibility and responsiveness
- Excellent verbal and written communication skills
- Demonstrated professionalism, discretion, and judgment
- Experience supporting more than one executive simultaneously
- Prior experience in health care, technology, or strategy functions preferred
- Experience working within or supporting project-based work or change/transformation initiatives preferred
This position is an Office role, which requires an employee to work from the designated office, Minnetonka, MN, 5 days a week.
The full salary grade for this position is $70,200-$120,400. While the full salary grade is provided, the typical hiring salary range for this role is expected to be between $70,200-$105,315. Annual salary range placement will depend on a variety of factors including, but not limited to, education, work experience, applicable certifications and/or licensure, the position's scope and responsibility, internal pay equity and external market salary data.
