Job Description

Job Summary:

The Medline Coordinator is responsible for managing the medication refill process to ensure timely, accurate coordination between patients, providers, and pharmacies. This role supports continuity of care by tracking refill requests, facilitating provider review, and maintaining accurate documentation within the Electronic Medical Record (EMR). The Medline Coordinator plays a critical role in patient access to medications by ensuring efficient workflow, clear communication, and adherence to clinical protocols within a high-volume outpatient setting.

Essential Duties and Responsibilities:

  1. Respond to patient and pharmacy inquiries regarding medication refills
  2. Investigate and track the status of refill requests
  3. Educate patients on medication refill policies and procedures
  4. Document refill requests and patient interactions accurately in the EMR
  5. Retrieve and process refill requests from phone messages and fax communications
  6. Present refill requests to providers for timely review and approval
  7. Communicate approved or denied refill requests to patients and pharmacies
  8. Process and document prior authorizations as directed by providers
  9. Maintain compliance with medication refill workflows and documentation standards
  10. Support overall clinic workflow and collaborate with clinical teams
  11. Maintain patient confidentiality and adhere to HIPAA guidelines
  12. Suggest process improvements to enhance efficiency, productivity, and quality of service
  13. Participate in training, meetings, and ongoing professional development
  14. Perform additional duties as assigned within scope of practice

Minimum Education/Certifications: 

Required

  • High school diploma or equivalent
  • Completion of an accredited Medical Assistant program
  • Proficiency in basic computer and data entry skills
  • Strong communication and customer service skills
  • Ability to work collaboratively in a team-based environment

Preferred

  • Prior CPR/First Aid certification
  • At least one (1) year of experience in a medical or physician office setting
  • Familiarity with Electronic Medical Records (EMR)
  • Knowledge of Joint Commission standards
  • Bilingual (Spanish, Nepali, French, or Arabic preferred)
